Getting started

Can imported machinery use a QR code manual?

Use a QR code or download as a supplement, rather than assuming it replaces printed safety instructions. HSE says information essential for health and safety should normally accompany the product in printed form. Agree the printed English safety content before shipment with Cambridge China Bridge.

What HSE says about printed instructions

HSE says the parts of instructions essential for health and safety should normally be supplied with the product in printed form. Keep that qualification: this is guidance about essential safety information, rather than a statement that every page of every manual must be printed.

For UK supply, confirm the applicable instruction-language requirements with HSE or the relevant market surveillance authority and specify English instructions in the purchase agreement. Our machinery sourcing guide covers the wider documentation and supply obligations. Here, the purchasing question is which information arrives on paper and which material is provided digitally.

Identify safety content before choosing the format

Ask the manufacturer to identify the information essential to safe installation, operation, cleaning and maintenance for the exact machine. Review isolation procedures, residual hazards, operating limits and responses to faults with the engineer who will install or maintain it.

Treat that review as a content check, not a page-count exercise. A brief warning sheet may omit the procedure needed to avoid a hazard. Ask for printed instructions that explain the relevant safe actions, with drawings that match the supplied configuration.

Use digital material as a supplement

A download can be useful for searchable copies, supplementary demonstrations and parts information. Before treating anything as supplementary, check whether it contains a safety instruction absent from the printed pack. If it does, resolve the gap with the manufacturer.

A working QR code only proves that a link opens. Test whether the buyer can save and print the correct English document without a supplier account. Keep a local copy and record its revision, rather than depending on a website remaining available.

Specify the instruction pack in the order

Put the deliverables in writing: printed English safety instructions accompanying the machine, a downloadable English copy, and documents matched to its model and configuration. Agree who approves the translation and how changes to controls, guards or accessories will be reflected in the instructions.

Ask for the draft before approving shipment. Compare terminology and illustrations with the actual machine, especially control labels and maintenance access. Our supplier instructions guide explains how to turn factory material into usable customer documentation.

Check the pack before shipment and handover

Add document checks to the pre-shipment inspection: open the printed pack, compare it with the approved revision, scan the actual label and download the file. Record mismatches and ask for photographs showing the corrected pack with the machine.

At handover, store the approved files where operators and maintenance staff can find them, and keep the printed safety instructions accessible. Cambridge China Bridge can use its own staff in China to check the agreed instruction pack with the factory before dispatch.

Frequently asked questions

Can a QR code replace a printed machinery manual?

Do not assume so. Specify printed English safety instructions, with the QR code providing supplementary access.

Does every page of the machinery manual need printing?

HSE's wording concerns the parts essential for health and safety. Ask the manufacturer to identify those parts for the actual machine before agreeing which supplementary material will be digital.

Is a Chinese manual with an English download enough?

Confirm the applicable instruction-language requirements with HSE or the relevant market surveillance authority. A download alone does not follow HSE's normal approach of supplying essential safety information in printed form with the product. Agree an English printed safety pack.

What should I check before the factory ships?

Check the printed English safety content, model and revision against the actual machine. Scan the supplied QR label, save the English file and confirm that the printed and digital instructions agree.
