How to read an air waybill
Match the house and master references, confirm the airports and parties, then check pieces, gross weight, chargeable weight and payment fields against your packing list and freight quote. Keep freight billing separate from the customs declaration. You can ask Cambridge China Bridge to help reconcile the shipment paperwork.

Identify the house and master references
The airline issues the master air waybill; the freight agent issues house air waybills to individual customers. On a consolidated shipment, the master can cover cargo belonging to different buyers. Ask your forwarder to identify your house reference and its linked master reference. A booking reference or purchase order reference is not automatically either of these.
Keep the references labelled in your shipment file. Ask which reference the airline, destination agent and customs broker each use when locating your cargo. Master and house parties may differ because they describe different transport relationships; ask for an explanation rather than changing names to make the documents look identical.
Read the airports and delivery parties
Find the departure airport, destination airport and routing fields. Airport codes identify airports, not your warehouse address. Ask the forwarder to expand unfamiliar codes into airport names and distinguish the final airport from any transfer point. Check that the route matches the service you bought.
Check the shipper and consignee names, addresses and contact details on your house document. Confirm who will receive the arrival notice and arrange collection or delivery. An airport destination does not establish that onward delivery is included. Ask for the destination agent's details and the agreed delivery endpoint.
Separate pieces, gross weight and chargeable weight
Pieces means the packages recorded for carriage, not necessarily the number of products inside them. Check whether the count represents cartons, pallets or other handling units. Gross weight is the physical weight including packaging. Compare it with the packing list, check the weight unit and ask about differences caused by repacking or palletising.
Chargeable weight is the basis used for the freight calculation. Air freight generally uses the greater of actual and volumetric weight, as explained in sea versus air freight. Ask for the measured dimensions, calculation method and any rounding or minimum charge. Do not replace the packing list's physical weight with the billing weight.
Check the goods description and customs data
Read the nature and quantity of goods field alongside the invoice and packing list. A transport description may be abbreviated, but it should still identify the same goods. Ask for clarification if it says only parts or samples. Do not treat a carrier's commodity item field as confirmation of your customs commodity code. For invoice checks, see how to read a commercial invoice.
GOV.UK distinguishes carriage documents from customs-clearance documents. Treat any declared value for carriage and declared value for customs fields as separate checks; neither is a substitute for reconciling the invoice and import declaration. Use UK customs clearance documents for the wider document checklist. Keep product value, classification and origin checks separate from freight rating. For kitchenware switched from sea to air, see kitchenware document rechecks.

Read prepaid and collect, then resolve discrepancies
Prepaid identifies charges allocated for payment at origin; collect identifies charges allocated for payment at destination. Read the weight charges, other charges, currency and totals separately, because payment arrangements can differ by charge. Prepaid does not establish that duty, VAT, destination handling or delivery is included, or that a particular invoice has been settled.
Compare each charge with the agreed quote using checking a freight invoice. For customs valuation, HMRC allows UK transport costs included in the total freight charge to be deducted if separately charged and distinguishable. Ask your broker for the supporting breakdown rather than copying the waybill total into the declaration. Send discrepancies to the issuer and obtain corrected paperwork or a written explanation.
Frequently asked questions
What is the difference between a house and master air waybill?
The airline issues the master; the freight agent issues the house to its customer. On a consolidation, ask the forwarder to confirm how your house reference links to the master.
Why is chargeable weight higher than gross weight?
Bulky cargo may be billed by volumetric weight. Ask for the measured dimensions and calculation, then check any rounding or minimum charge against the quote.
Does prepaid air freight include customs duty and VAT?
Prepaid describes the payment allocation for transport charges. Check the quote separately for duty, VAT, destination handling and delivery; the waybill label does not establish that these are included.
Which air waybill number should I use to track my shipment?
Ask the tracking provider which reference it accepts. The airline may use the master, while the forwarder uses your house reference. Keep both labelled and linked in your shipment file.
