Why do I have a house and master bill of lading?

A forwarder may issue a house bill alongside the shipping line’s master bill, giving your shipment linked transport documents. Map each issuer, reference and cargo scope, then ask the UK agent which references they need for clearance and collection. Supplier-side checks can be coordinated by Cambridge China Bridge.

Identify the issuer behind each bill

The house bill is usually issued by the forwarder to its customer; the master bill is issued by the shipping line for the carrier booking. They describe linked transport arrangements, so receiving both is not itself a duplicate-shipment warning. Check the actual issuer and any wording showing that a signature is made on someone else’s behalf.

GOV.UK’s transport-document guidance says issuers can differ and documents have individual procedures. Use that as a reason to identify the parties, rather than treating every bill as interchangeable. Our document and release guide covers choosing the document type and arranging release.

Build a reference map for the UK agent

Ask the forwarder to confirm in writing which master reference covers your house bill. Record the issuer, shipper, consignee and notification contact from each document exactly as shown. Different party names can reflect the forwarder’s transport arrangement; ask for an explanation before requesting amendments.

Send the map with the issued documents and arrival notice. Ask the UK agent to return it with the references they want used for clearance enquiries, carrier release and collection. Keep booking references and container identifiers in separately labelled fields.

Compare cargo scope before comparing totals

A master bill may cover consolidated cargo while your house bill covers your own consignment. Ask whether the documents describe your goods alone or a wider load. Do not assume that different package or weight totals are errors, or copy the master total into your shipment file without checking its scope.

Compare your house-bill cargo details with the invoice and packing list: description, package type, marks and gross weight. Distinguish cartons from pallets and net weight from gross weight. Ask for a written reconciliation of unexplained differences. Our customs document checklist covers the wider file.

Separate clearance from permission to collect

Ask the UK agent which transport-document references they need for your particular clearance instructions. Send the invoice and packing list alongside the linked bill details. Ask them to flag missing links before proceeding, rather than choosing a reference because it appears on the first page.

Request separate updates on customs status, house-bill release, shipping-line release, outstanding charges and collection availability. House-bill release does not confirm shipping-line release. Ask who owns each task, even where the same firm handles several roles; our guide to sourcing agents, forwarders and brokers explains those roles.

Resolve mismatches before booking collection

If an arrival notice quotes an unfamiliar bill, send it to the forwarder and UK agent with your reference map. Ask them to confirm the link, cargo scope and destination contact. Request any correction from the issuer; keep the corrected document and written explanation together.

Before booking a haulier, obtain the collection location, accepted collection reference, authorisation instructions and confirmation of remaining holds. Cambridge China Bridge’s staff in China can coordinate supplier-side document queries with the forwarder. Agree who obtains the UK agent’s final collection instructions.

Frequently asked questions

Why are the consignee names different on my bills?

The master bill may name a forwarding party while the house bill names the customer. Ask the forwarder to explain the parties and confirm the link before requesting a change.

Which bill of lading number does my UK customs agent need?

Send the house reference and its confirmed master link. Ask the agent which references they need for your clearance instructions; do not choose solely from the document title.

Should house and master bill weights match?

Check cargo scope first. The master may cover a wider consolidated load. Reconcile your own consignment against its packing list and ask the forwarder to explain any remaining difference.

Can I collect once the house bill is released?

Ask the UK agent to confirm shipping-line release, customs status, outstanding charges and collection authorisation separately. Obtain the accepted collection reference and location before booking the haulier.
