Notify before the slot is lost

Open the retailer's current delivery instructions and booking confirmation. Find the late-arrival reporting deadline, cancellation cut-off, required channel and out-of-hours contact. Notify as soon as the slot is at risk; do not wait for a precise arrival estimate. If the deadline has passed, report immediately and ask what recovery route is available.

Give the booking reference, purchase order, delivery site, load details, reason for delay and revised arrival estimate, clearly marked as an estimate. Ask whether the site will accept late arrival or requires a replacement booking. Record when and how you notified them, retain the acknowledgement and agree when you will update them.

Confirm who can change the booking

Check whether the retailer expects its supplier, the haulier or a nominated booking team to cancel and rebook. Name the person responsible and confirm their portal access or contact route. A driver's conversation at the gate is not a replacement booking confirmation; obtain confirmation from the retailer's designated booking contact.

Before releasing the vehicle towards the site, obtain the confirmed slot, booking reference and arrival instructions. Check whether the original booking must be cancelled and whether delivery paperwork needs updating. For load presentation, use preparing pallets for retailer delivery.

Agree a safe place to hold the load

Ask the haulier to propose a suitable holding location and confirm availability with its operator before diverting. HSE guidance says parking and unloading should generally be away from the road, pavement and public. Do not tell the driver to wait outside the retailer's gate without an agreed safe arrangement.

Confirm whether the goods will remain on the vehicle or enter storage, who has custody, security, load protection, any temperature needs and insurance cover for the changed arrangement. If unloading is proposed, agree handling and stock records before transfer. Use choosing a UK warehouse for the storage decision. For securing responsibilities, see who secures pallets for retailer delivery.

Approve customer-specific charges in writing

Ask for the retailer's applicable charge schedule and the haulier's itemised proposal. Separate missed-slot charges, waiting, diversion, storage, unloading and redelivery. Check the trigger for each charge against the booking instructions and agreed terms; do not treat a quoted recovery cost as proof that you owe it.

Before authorising extra services, obtain written approval from the person authorised to approve spending for your business. Record the service, amount or calculation basis, spending limit, payer and approval needed if costs rise. Keep disputed retailer deductions separate from approved recovery spending. Use checking a freight invoice against your quote when reconciling the bill.

Send and close out the recovery plan

Send the retailer, haulier and relevant supplier contact a shared recovery note: notification acknowledgement, rebooking owner, holding location, confirmed replacement slot, approved services and next update. If acceptance is still pending, say so explicitly. Do not promise the customer a delivery date based only on the haulier's estimate.

After delivery, retain proof of delivery, any rejection record, holding and transfer records, booking confirmations and charge approvals. Match invoices and deductions to those records and query differences. For a China-sourced order, give Cambridge China Bridge the confirmed position so its staff in China can coordinate any factory follow-up.

Frequently asked questions

How soon should I report a missed retailer slot?

Report as soon as the slot is at risk. Check the retailer's current notification deadline and required channel. If the deadline has passed, notify immediately and request recovery instructions.

Can my haulier rebook the delivery?

Check the retailer's booking instructions. Confirm whether the haulier, supplier or nominated booking team has authority, then obtain the replacement booking confirmation.

Where should the lorry wait after missing a slot?

Agree a suitable holding location with the haulier and location operator. Confirm space, security, load protection and custody before diversion; do not assume the retailer permits waiting at its gate.

Should I approve missed-slot and redelivery charges?

Check the applicable terms and request an itemised basis. Obtain written spending approval before ordering recovery services. Keep disputed retailer charges separate from approved transport costs.
