How to price gift sets with mixed VAT rates

Check whether the gift set is a single supply or multiple supplies before splitting its price. For separate supplies with different VAT treatments, allocate the payment fairly, calculate VAT on each share and retain the supporting worksheet. Ask Cambridge China Bridge for the component breakdown to support your review.

Check what you are supplying

Start with the actual contents and how customers buy the set. Ask whether each item is a purchase in its own right, supports a main item, or forms an inseparable whole. HMRC says the decision depends on an objective assessment of the facts. Do not treat a shared box or a single advertised price as your complete assessment.

Give your VAT adviser the contents list, product descriptions, photographs, packaging details and proposed listing. Ask them to confirm single versus multiple supplies and the applicable VAT treatment before you build an allocation. Include any reusable presentation container in that review. Use our bundle packing and stock guide to establish exactly what the customer receives.

Allocate using genuine separate selling prices

For multiple supplies with different VAT treatments, the payment must be allocated fairly between the supplies. Where your business also sells all the items separately, HMRC recommends allocation using those selling prices. Gather your actual normal selling prices and evidence of sales at those prices.

For a VAT-inclusive bundle price, use VAT-inclusive separate selling prices throughout. Add the normal prices for the quantities included in the set. Divide each item's normal price contribution by that combined total, then multiply its share by the bundle price. This spreads a bundle discount proportionally. Check that the allocated amounts add back to the customer's payment.

Review costs where separate prices are unavailable

If you lack usable separate selling prices, ask your adviser to assess a cost-based allocation. HMRC describes methods using the costs attributable to supplies with different VAT treatments. Prepare component purchase costs and identify freight, duty, assembly, packing and other relevant costs so the adviser can check the basis.

Explain how shared costs are allocated and why any costs are excluded. Ask your adviser to check the VAT basis of the calculation, especially when allocating a VAT-inclusive selling price from costs recorded excluding VAT. Use our landed price guide for the purchasing worksheet, and keep import VAT calculations separately identifiable.

Calculate VAT before checking your margin

After allocating the VAT-inclusive payment, apply the appropriate VAT fraction to each positively rated share to find the VAT included. Subtract that VAT from the allocated amount to find net sales revenue. Have your adviser confirm the rate and fraction used for each supply before setting up the calculation in your sales system.

Compare the combined net sales revenue with your landed costs and selling costs to judge the margin. Rework the proposed selling price if the margin is insufficient, then rerun the allocation. For consumer-facing totals and charges, follow our advertised price guide.

Keep a calculation file you can reproduce

Keep the approved contents revision, your adviser's treatment assessment, the allocation method and its rationale together. Save the separate-price sales evidence or cost invoices supporting the inputs. Record quantities, VAT treatment, allocation weights, allocated gross amounts, VAT and net revenue in the worksheet, with formulas visible.

Date each version and record when it starts applying. Reconcile a test sale from the advertised price through the sales system to the worksheet, including any rounding adjustment. Review the calculation when contents, normal prices, costs or promotions change. Keep earlier versions so past sales can be traced to the calculation used at the time.

Frequently asked questions

Does a gift set automatically have a single VAT rate?

Assess whether it is a single supply or multiple supplies. Give your adviser the contents, packaging and listing so the treatment reflects the actual transaction.

How do I split a discounted gift set price?

Where all items are also sold separately, use their normal selling-price proportions to allocate the bundle price. Use a consistent VAT basis and check the allocated amounts total the payment.

What if I never sell the contents separately?

Ask your VAT adviser to assess a cost-based allocation. Provide component invoices and a breakdown of shared costs, and explain the allocation and any exclusions.

What evidence should I keep for the VAT split?

Keep the contents revision, treatment assessment, method rationale, price or cost evidence and calculation worksheet. Save dated versions and reconcile the sales system against them.
