Food consignment failed UK border checks: what next?
Obtain the written decision and consult the authority handling the consignment. Ask whether correction is permitted before booking any movement, then agree an authorised re-dispatch or destruction plan and keep completion evidence. Get the decision and identify the affected goods
Ask your agent for the authority’s written detention or refusal decision, rather than relying on a message saying the goods have failed. Request the reasons, supporting test results, affected batch references, available options and any deadlines. Establish whether checks are still pending, further documents are requested, or entry has been refused.
Match the decision to the invoice, packing list, container and seal details. Ask whether it covers the whole consignment or identified goods within it. Tell the warehouse and forwarder to pause delivery arrangements while you clarify the instructions. Our kitchenware evidence guide covers the documents to prepare before shipment.
Consult the authority before proposing a fix
Contact the officer or team named on the decision, with your importer and agent copied in. Confirm the product category, whether the entry point is in Great Britain or Northern Ireland, and which authority controls the next step. Ask for written confirmation of the applicable procedure rather than assuming all controlled food and food-contact goods have the same options.
For food subject to sanitary and phytosanitary checks in Great Britain, official guidance distinguishes approval, further action such as correct documentation, and rejection requiring return or destruction. Ask which outcome applies to your goods and what evidence could change it.
Check whether correction is actually permitted
Separate a documentary mismatch from a failed safety test. Send the authority the proposed correction and its supporting evidence. Ask whether replacement documents, further testing, relabelling or treatment would be considered, where any work could take place, and how completion would be checked. Treat these as questions, not available remedies.
Check that any replacement report identifies the goods actually detained. A supplier’s report for another material, colour or batch does not establish compliance for your order. Use our test-report coverage guide when reviewing the factory’s response. Seek written confirmation of release before resuming delivery.
Agree re-dispatch or destruction before booking
If correction is unavailable, ask the authority which disposal route it will authorise. For re-dispatch, put forward the destination, receiving party, transport route and proposed departure. Ask what destination acceptance evidence, customs arrangements, supervision and completion deadline apply. Obtain the authority’s written instructions before committing to freight.
For destruction, ask the authority to confirm the proposed contractor, facility, method, movement arrangements and evidence it needs. Ask how the goods will remain identifiable through collection and disposal. Use our imported-goods destruction guide for the wider planning questions, alongside the consignment-specific instructions.

Close the case with evidence and prevent a repeat
Keep the decision, correspondence, permissions, batch photographs and movement records together. For re-dispatch, request departure and receipt evidence. For destruction, request a certificate identifying the goods and quantity, disposal method, facility and completion date. Send the agreed evidence to the authority and request written confirmation that its instructions have been satisfied.
Keep supplier reimbursement discussions separate from the border instructions. Record storage, handling, testing, transport and disposal invoices without assuming a refund will follow. Cambridge China Bridge’s staff in China can help obtain factory records and coordinate corrective work; agree what must change and what evidence you will review before another shipment.
Frequently asked questions
Can I fix missing documents after a border check?
Possibly. Great Britain guidance recognises that correct documentation may be needed before approval. Ask the authority whether your specific defect can be corrected and what evidence it will accept.
Can I send rejected food straight back to China?
Consult the authority before booking. Ask it to confirm the permitted destination, acceptance evidence, transport arrangements and deadline in writing.
Can I relabel failed food-contact goods?
Do not assume relabelling resolves the failure. Submit the proposed change to the authority and ask whether it is permitted and sufficient for the stated reason for refusal.
What proof should I keep after destruction?
Keep the written instructions, collection records, batch identification, destruction certificate and invoices. Ask the authority which evidence it requires and obtain confirmation that the case is closed.
