Fix a credit-file error after a China purchase

Ask the card or instalment provider for its payment and credit-reporting records, identify the exact error and complain to it and each agency showing the entry. Request a specific correction and check Ombudsman eligibility if unresolved. Supplier evidence can be coordinated by Cambridge China Bridge.

Identify the entry and whose file it affects

Save the report showing the entry, including its date, provider name, account reference, balance and payment status. Establish whether it concerns your personal file or the company's commercial file. Describe the business purpose of the purchase accurately, including where you used a personal card to buy stock.

Write down the precise discrepancy: a payment shown as missed despite a confirmed pause, a refund not reflected in the balance, or an account belonging to someone else. Do not assume that a supplier dispute proves the reporting is wrong. For handling ongoing card payments, use our credit-card payment guide.

Request the provider's underlying records

Ask the card or instalment provider for the agreement, statements, payment allocation history, refund postings and any temporary credits or reversals. Request copies of pause confirmations, relevant messages, call records and arrears or default correspondence. Ask it to explain which payment it considered overdue and how it calculated the reported balance.

Request the credit-reporting history for the disputed period: the agencies supplied, reporting dates, balances and status descriptions, plus any correction already sent. Compare these with your payment receipts and written pause terms. For requesting a pause itself, use our instalment payment dispute guide.

Make a specific complaint to the provider

Use the provider's formal complaints procedure. State the account, affected reporting period, disputed entry, supporting document and correction requested. For example: “Your written confirmation paused this collection, but my report shows a missed payment. Please explain the discrepancy and correct any inaccurate reporting with every agency you supplied.” Request a complaint reference and written outcome.

Attach a short chronology linking the order, supplier dispute, payment instructions, actual collections and refund. Separate supplier promises from money posted to the account. If a refund overlaps with a card claim, use our refund during a chargeback guide. Ask what remains payable while the reporting complaint is investigated.

Complain to each agency showing the entry

Use each affected credit-reference agency's dispute or complaints channel. Identify the exact account and entry, explain why it is inaccurate and attach the relevant report extract, provider correspondence and payment evidence. Request the specific amendment or removal justified by that evidence, a case reference and a written explanation of the investigation outcome.

If the agency says the provider confirmed the entry, ask what information was checked and challenge any mismatch with your documents. Keep the agency complaint separate from the provider complaint. After a correction is agreed, obtain fresh reports from the affected agencies and check the payment history, balance and account status before closing the matter.

Check Ombudsman eligibility and referral timing

For an eligible financial-service complaint, you can usually approach the Financial Ombudsman Service if unhappy with the provider's response. If the provider has not responded, ask the Service when you can refer the complaint. Ask the Service to check your eligibility, the agreement and the activity complained about. For a company purchase, provide the business structure and accounts; ask separately about any complaint against an agency.

Usually refer within six months of the provider sending its final response. Check the stated deadline and ask the Service about any other applicable time limits promptly. Send the complaints, responses, reports, chronology and evidence of any resulting loss. Cambridge China Bridge's staff in China can help organise supplier records; request account and reporting corrections from the provider and agencies.

Frequently asked questions

Will disputing my China order remove a missed payment?

Do not assume it will. Compare the entry with payment records and any written pause. Explain the precise error and request the correction supported by those documents.

What evidence should I request from my card provider?

Request statements, payment allocations, refund and temporary-credit records, pause confirmations and reporting history showing the agencies, dates, balances and statuses supplied.

Should I complain to the lender or credit agency?

Complain to the provider about its records and reporting, and to each agency showing the disputed entry. Keep separate references and compare their written explanations.

Can a business purchase complaint go to the Ombudsman?

Ask the Financial Ombudsman Service to check the business, agreement and complaint. Describe the purchase purpose accurately and supply business details. Do not assume personal-card use settles eligibility.
