Supplier refund during a chargeback: what to do

Notify your card issuer immediately, provide evidence of the supplier refund and ask how it affects the open chargeback. Tell the issuer immediately

A chargeback involves asking your card issuer to reverse a transaction. If a supplier refund arrives while your dispute is open, contact the issuer through its usual secure channel immediately. Give the dispute reference, original payment details, refund amount and currency, receipt date and supporting statement. Ask for confirmation that the refund evidence has been added to the case.

Say whether the refund covers the whole disputed payment or only part of it. If you have only a supplier promise or transfer screenshot, describe it as an expected refund rather than money received. Ask the issuer what further evidence it needs and whether you should amend or withdraw any part of the dispute.

Match the money to the disputed payment

Create a reconciliation record linking the original card debit, the supplier refund and every issuer credit or reversal. Include the order and invoice references, transaction dates, currencies, amounts, sender or merchant names and bank references. Ask what happens to the issuer credit

Ask the issuer to identify whether its credit is temporary or final, how the supplier refund changes the disputed balance and what adjustment it proposes. Request the amount, currency and transaction reference of any planned debit. Keep the potentially overlapping recovery available while these questions are resolved.

Do not assume that receiving a refund automatically closes the dispute. For a partial refund, ask the issuer to confirm the remaining amount it is considering. Continue answering case requests until it confirms the outcome, and keep its written explanation alongside the reconciliation record.

Check before returning money

If the supplier asks you to repay an apparent duplicate refund, tell the issuer before making a transfer. Ask it to explain whether it will reverse its own credit or expects another correction. Otherwise, a supplier repayment followed by an issuer debit could leave you short. Compare the proposed correction with the payment record rather than the supplier’s headline total.

Verify any repayment request through an established supplier contact and ask your bank about the appropriate return route. Do not send money to a newly supplied account while the overlap remains unresolved. The supplier over-refund guide covers requests to repay a different account.

Close with a reconciled record

Before marking the matter settled internally, match the issuer’s written outcome to the actual account entries. Record the supplier refund retained, issuer credit retained or reversed, any verified repayment and any unresolved difference. Ask the issuer to explain an unexpected debit rather than sending another payment to correct it yourself.

Treat any overlap as unresolved money. Ask the issuer to confirm the adjustment and keep the overlapping amount available until the account entries and written outcome agree.

What if the supplier refunds by bank transfer?

Send the issuer the receipt evidence and supplier allocation details. Match the transfer to the disputed card payment, including currency conversion and deductions, rather than assuming it is a separate recovery.

Should I repay the supplier’s nominated account?

First reconcile the credits and ask the issuer about any planned reversal. Verify the request through an established supplier contact and ask your bank about the return route before transferring money.
