How to commission food shelf-life validation

Commission a food laboratory or specialist to study production-representative food in its final pack. Agree storage conditions, sampling, microbiological and sensory limits, and a report supporting the proposed date and opening instructions before testing starts. Factory records and samples can be coordinated by Cambridge China Bridge.

Freeze the product specification before testing

Give the laboratory the final recipe, ingredient specifications, manufacturing process and retail packaging specification. Include preservation steps, filling conditions, seal design and any protective atmosphere. Ask it to identify missing information before quoting. Testing a development recipe in a substitute container leaves a gap between the study and the product you intend to sell.

Agree how production batches will represent normal variation, who selects samples and how their identity and condition will be recorded. Link each sample to its recipe, process and pack versions. Use our laboratory sample chain-of-custody guide for sample handling.

Specify storage from manufacture to consumption

Describe the route through factory storage, export transport, border delays, UK warehousing, retail and customer use. Ask the specialist to propose study conditions covering the intended storage regime and reasonably foreseeable deviations. Record the starting point for shelf life so time spent awaiting shipment is included rather than silently restarted on arrival.

Study unopened and opened packs separately where opening instructions are proposed. Include thawing or preparation scenarios where relevant. Agree how temperature exposure will be recorded and interpreted. Our temperature-controlled shipping guide helps turn the study assumptions into a transport brief.

Agree safety and quality endpoints separately

Ask the specialist to justify the organisms, methods, sampling schedule and acceptance limits for this food and its intended use. Request an explanation of whether routine durability testing is enough or whether challenge testing, modelling or other supporting work is needed. For chilled ready-to-eat or vacuum-packed foods, explicitly ask which hazards need specialist assessment.

Agree separate quality endpoints for appearance, aroma, flavour, texture and packaging performance, with written rejection criteria. Ask whether acidity, water activity, oxidation or seal integrity measurements would help explain deterioration. Arrange sensory assessment only under the specialist's safety protocol. A pleasant smell is not evidence that the microbiological endpoints have been met.

Commission a report that supports the date

Official UK guidance distinguishes use-by dates, which concern safety, from best before dates, which concern quality. Ask the specialist to recommend the appropriate date type and explain how the study supports the proposed duration, storage wording and instructions after opening. Do not choose a quality date merely because it suits stock planning.

Specify the report deliverables before accepting the quote: product and batch identities, study conditions, methods, results at each sampling point, deviations, conclusions and limitations. Ask for the rationale for any safety margin and a clear statement of what remains unproven. Check the provider's relevant testing scope using our laboratory accreditation guide.

Approve the evidence before printing or extending

Nominate a buyer-side food technical reviewer to compare the report with the final recipe, pack artwork and distribution plan. Resolve failed endpoints or unexplained deviations before approving the date. If the study supports a shorter duration than requested, revise the commercial plan or commission justified further work rather than extrapolating the result.

Keep the approved specification, study report, label version and approval record together. Agree review triggers for ingredient, process, pack or storage changes and a programme of checks on subsequent production. Use our shelf-life stock management guide for the separate task of preserving usable selling time through ordering and distribution.

Frequently asked questions

Can I use the Chinese factory's shelf-life report?

Ask a food technical specialist to check whether it covers your final recipe, process, pack and storage route. Obtain the underlying methods and results, not just a certificate stating a duration.

Which microbiological tests does my food need?

Ask the laboratory to justify a product-specific panel and limits from the food's hazards and intended use. A generic testing package may leave relevant hazards or growth behaviour unexamined.

Can accelerated testing prove food shelf life?

Ask what the accelerated method can establish and how it relates to actual storage. Require a justified interpretation; faster quality deterioration does not by itself demonstrate microbiological safety.

Do I need to retest after changing the packaging?

Ask the specialist to assess the change before carrying over the existing date. Changes to seals, barrier properties, headspace or filling can alter the conditions represented by the original study.
