How to organise club equipment take-home loans
Use a written loan procedure approved against your insurer's conditions. Authorise borrowers, record condition at handover and return, supply instructions, and assign maintenance and incident responsibilities. Resolve overdue returns through a named custodian. Request factory manuals and spare-part information through Cambridge China Bridge.

Approve take-home use with the insurer
Start with our club equipment buying guide for purchase approval and shared-use checks. For take-home loans, send your insurer or broker the equipment details, China sourcing route, proposed borrowers, home activities, transport and storage arrangements. Request written confirmation of cover and conditions before releasing equipment.
Ask specifically about accidental damage, theft from homes or vehicles, injury, damage to borrowed premises, policy excesses and exclusions. Explain whether loans are free or charged and whether household members might gain access. Record permitted locations and activities in the loan procedure, and refer proposed exceptions back to the insurer.
Authorise borrowers and agree the loan terms
Appoint a custodian and deputy to approve and release loans. Keep an authorised borrower list showing relevant instruction or practical demonstrations completed. Check the proposed home setting against the equipment instructions. Decline a loan where safe setup, supervision, transport or storage cannot be arranged.
Use a signed loan record naming the borrower, equipment, permitted users and location, collection and return arrangements, and contact details. Prohibit onward lending, modifications and unauthorised repairs. Explain any deposit, proposed damage charges and dispute review before collection. Ask for advice on disputed terms rather than treating a signature as sufficient protection.
Record condition at collection and return
Give each item a club identifier linked to its model and serial number where available. At collection, record the borrower, handover date, agreed return date, accessories, instructions supplied, existing marks and the result of appropriate condition checks. Take dated photographs and have the borrower acknowledge the record; give them a copy.
At return, compare the equipment and accessories with the outgoing record. Record new damage, missing parts, reported faults and any disagreement without guessing the cause. Mark the item as awaiting inspection until the custodian completes the agreed checks. Do not send it straight to another borrower because the next booking is waiting.
Supply instructions and check understanding
Give the borrower instructions for the exact model covering assembly, permitted use, limitations, protective equipment, cleaning, storage and stopping safely. Use our supplier instructions guide to prepare usable documentation. Keep any club handover sheet consistent with the full manual, and resolve unclear translations before lending.
Demonstrate relevant setup and safety checks, then ask the borrower to show that they can carry them out. Explain how to keep children and unauthorised users away. Include a contact route and clear stop-use triggers, such as unusual heat, instability or damaged guards. Avoid lending equipment that needs supervision the home arrangement cannot provide.
Keep maintenance under club control
Assign routine borrower tasks, such as cleaning and visual checks, separately from servicing and repairs. HSE notes that some maintenance can be done in-house by suitably trained, competent staff. Choose maintenance arrangements to suit the equipment and task; request specialist help where the club lacks the necessary skills.
Keep a maintenance record linked to the item, including work completed, replacement parts, outstanding faults and the next review or service trigger. Base the schedule on manufacturer guidance, use and condition. Block loans when checks or servicing are outstanding. Cambridge China Bridge's staff in China can request model-specific manuals and spare-part information from the factory.

Handle damage, incidents and overdue returns
Tell borrowers to stop using suspect equipment, keep others away and contact the custodian promptly. Arrange safe recovery; do not ask them to transport an unstable or otherwise unsafe item. Preserve photographs, incident accounts and damaged parts where safe. Notify the insurer through its agreed route, follow its claims instructions and record who approves any repair and return to service.
Send a return reminder and contact an overdue borrower privately to establish the equipment's location and condition. Record any approved extension, notify affected bookings and escalate an unresponsive borrower to the named committee contact. Review proposed charges against the agreed terms, condition evidence and insurer's response; give the borrower an opportunity to respond before deciding.
