Getting started

Am I personally liable for a club equipment order?

Yes, you could. An unincorporated club can involve personal responsibility for debts and contractual obligations. Check the club structure, your authority, the named buyer and any personal commitments before signing. Request the complete sourcing paperwork from Cambridge China Bridge.

Establish the club's legal structure

Obtain the constitution or membership agreement and any incorporation documents. GOV.UK says individual members of an unincorporated association are personally responsible for debts and contractual obligations. Ask a UK solicitor to establish which people would be bound by this particular equipment order.

A limited company is legally separate from its owners. If a company runs the club, check its registered identity against the proposed buyer details. Keep the question of personal liability separate from consumer rights for club equipment.

Match committee approval to the actual order

Read the club's rules on purchasing and delegation. Record who approved the equipment, the spending limit, available funding and who may sign. Attach the quotation and terms actually reviewed, so approval is tied to a defined purchase rather than a general instruction to buy equipment.

Specify who can approve freight charges, substitutions, installation costs and later changes. Record any reimbursement arrangement if you advance personal funds. Ask your solicitor to assess signing authority and personal exposure separately; give them the rules and approval record alongside the supplier documents.

Identify the contracting parties throughout

Compare the buyer named in the quotation, order form, account application and signature block. Flag wording that alternates between your personal name and the club name. Ask the supplier to confirm the intended contracting buyer and your signing capacity, then obtain consistent final documents.

Identify the equipment seller and any separate sourcing-service provider using our seller or agent guide. Record the payer, delivery recipient and intended equipment owner separately. Ask your solicitor to review any proposed wording about signing on behalf of the club.

Read every personal commitment before signing

Read the incorporated terms and account paperwork as well as the order signature page. Mark any personal guarantee, indemnity, promise to pay or wording about shared liability. Ask your solicitor whose obligations each clause covers and what could be claimed from you if club funds run out.

Ask for unwanted personal commitments to be removed and have the revised wording reviewed. If a guarantee remains, use our personal guarantee guide for its scope and release questions. Use our UK seller supply terms guide for the underlying purchase terms.

Make a final signing check

Before signing or paying a deposit, assemble the club documents, purchase approval, final contract, incorporated terms and relevant correspondence. Ask your solicitor to explain who contracts, whether you have authority and what personal obligations remain. Hold the order if the buyer or your capacity remains unclear.

Check the final version against the reviewed documents and keep a complete copy for the committee and future office holders. Cambridge China Bridge's staff in China can coordinate the factory specification and sourcing documents. Use our shared-use club equipment guide for venue, insurance and operational checks.

Frequently asked questions

Can a club treasurer be personally liable for an order?

Yes, personal liability is possible for an unincorporated club's debts and contractual obligations. Ask a solicitor to review the club structure, your authority and the proposed contract before signing.

Does committee approval protect me from personal liability?

Keep the approval record, but ask a solicitor to assess your authority and personal exposure separately. Provide the club rules, approved quotation, final terms and proposed signature wording.

What name should go on a club equipment order?

Ask the supplier and your solicitor to confirm the contracting buyer and your signing capacity. Resolve differences between the quotation, order, account paperwork and signature block before signing.

Should I sign a personal guarantee for club equipment?

Obtain independent UK legal advice on the complete documents first. Ask what you would cover, how exposure is limited and how release works. Request removal if you do not intend to give a personal commitment.
