Getting started

Can I use a Chinese factory SDS in the UK?

Only if it already meets the requirements for your GB supply and matches the formulation you actually supply. An English translation alone does not establish this. Have a competent SDS compiler check the composition, hazards and supplier details before forwarding it. Factory information can be gathered by Cambridge China Bridge.

Establish whether an SDS is required

For supply in Great Britain, an SDS is required for hazardous substances and mixtures, persistent and bioaccumulative substances meeting the specified criteria, and substances on the REACH Candidate List for other specified reasons. Certain mixtures not classified as hazardous also require an SDS on request because of their ingredients or workplace exposure limits. Ask a competent compiler to assess the supplied composition rather than accepting a factory's statement that the product is non-hazardous.

This guide addresses England, Scotland and Wales. Confirm the destination before commissioning the document. Treat SDS preparation and UK REACH registration checks as separate tasks.

Check the content for GB supply

The SDS must identify the supplier and give its full address, telephone number and the email address of a competent person responsible for the sheet. Check that these details describe your supply arrangement. Do not simply replace the factory's name with yours while leaving the technical content unreviewed.

Emergency information services must be referenced, with limitations on availability or information clearly stated. Ask the reviewer to check applicable GB workplace exposure limits and regulatory information, rather than carrying across overseas entries. Test whether the emergency contact works for your customers and whether its stated availability is accurate.

Review the formulation before the translation

An SDS must be prepared by a competent person who understands the intended audience; suppliers must ensure appropriate training, including refresher training. A fluent translator is not sufficient evidence of that competence. Use the guide to appointing a compliance adviser to define the reviewer's scope.

Request the formulation identity, ingredient identities and concentrations, relevant test data, intended uses and confirmation of which production version the sheet covers. Arrange confidential disclosure directly to the reviewer if necessary. Ask for a written record of missing information, classification decisions and corrections. A sheet for a similar product or an individual ingredient should not be accepted as evidence for the supplied mixture.

Use clear English and consistent documents

The SDS must be supplied in English; another language may accompany it. Its wording must be clear and concise. Have the reviewer check technical meaning across first aid, handling, storage and exposure controls, rather than approving a translation because it reads smoothly.

Compare the product identity and hazard wording with the agreed formulation, packaging artwork and customer specification. Resolve contradictions before release. Use chemical label and packaging checks for the separate artwork review.

Release and control the reviewed sheet

Where required, provide the SDS free of charge on paper or electronically no later than first supply. Keep the reviewed version with the formulation record and record which customers received it. Agree that factory formulation changes trigger a fresh review before you reuse the sheet.

An SDS supports safe-use decisions but is not the customer's workplace risk assessment. Cambridge China Bridge's staff in China can request formulation information and clarify factory discrepancies; technical acceptance should remain with the competent reviewer.

Frequently asked questions

Can I forward the factory's English SDS unchanged?

Only after checking that it matches the supplied formulation and meets the requirements for your GB supply. English wording alone is not enough.

Does a non-hazardous mixture need an SDS?

Sometimes. Certain ingredients, concentrations or workplace exposure limits trigger an SDS on request. Ask the reviewer to assess the composition.

Can a translator approve my SDS?

Translation skills alone do not demonstrate SDS competence. Use a competent compiler to review the formulation, hazards and GB content.

What if the factory will not disclose its formula?

Offer confidential disclosure directly to the reviewer. If essential information remains unavailable, hold document approval rather than filling gaps with assumptions.
