Getting started

China imports after a business name or address change

Treat a name or address change as a coordinated update to HMRC records, supplier paperwork and product contact details. Check whether the importing legal entity is changing before altering registrations, and review open shipments and old labels separately. Coordinate factory changes with Cambridge China Bridge.

Define exactly what is changing

Write a change notice showing the old and new legal name, trading name, registered office, contact address and delivery address, marking which details actually change. Include the effective date and affected orders. A warehouse move should not become an instruction to replace every address on every document.

Ask your accountant to confirm whether this is a rename or move of the existing importer, or a different legal entity taking over purchasing. For the latter, ask HMRC and your customs agent which registrations need changing before using the old identifiers. Our guide to UK business identifiers explains what each number is for.

Update HMRC records through the right route

You must tell HMRC when your business name or personal or trading address changes, and update every tax or scheme you are registered for. For VAT, report relevant name or main-address changes within 30 days. If your company has a company registration number, the VAT guidance directs you to tell Companies House about a company name change; Companies House tells HMRC. For Northern Ireland customs arrangements, see UKIMS applications without NI premises.

For a VAT-registered business, HMRC directs name, business-address and trading-name changes through the VAT online account so it can update the EORI record. If you are not VAT registered, use the appropriate EORI change form; the guidance provides separate routes by number prefix. Save the submission and check the resulting record before giving revised details to your customs agent.

Give the factory and forwarder a controlled update

Send the approved change notice to your supplier, sourcing contact, customs agent and forwarder. Ask each to confirm the buyer, importer, consignee and delivery details they will use. Review open purchase orders, draft commercial invoices, packing lists, transport documents and any broker authorisation against that notice. Use our customs document checklist for the underlying shipment file.

If goods are already travelling, ask the forwarder which documents are issued and ask the broker whether any submitted declaration needs correction. Keep the originals and any formally corrected versions together. Avoid asking the factory to overwrite historic invoices merely to make the archive display your new name.

Check product labels separately from customs records

An HMRC update does not edit your factory artwork. For electrical equipment within the relevant Great Britain rules, importer identification includes a name, registered trade name or mark and postal address on the equipment, with packaging or accompanying documentation used where marking the equipment is not possible. Food packaging or labels must identify either the business whose name the food is marketed under or the importing business, with its address.

Check your particular product and intended market before choosing where revised details go. Review product markings, retail packaging, instructions and contact details in the compliance file. Where declarations or reports name your business, ask the issuer whether an amendment is appropriate; do not edit signed documents yourself. Use our guide to approving factory artwork to control the revised print file.

Resolve old stock and approve the next shipment

Separate stock already sold, stock in your warehouse, goods in transit and goods still at the factory. Photograph existing labels and record whether the old postal address still reaches your business. Ask a product compliance adviser to assess affected stock before assuming either that every item needs relabelling or that all old labels can remain.

Agree which orders use the revised paperwork and artwork, and ask for photographs of the actual production labels before dispatch. Keep a change log linking old and new details to the affected batches. Cambridge China Bridge can coordinate the approved document and artwork changes with its staff in China and the factory.

Frequently asked questions

Do I need a new EORI if my business moves?

HMRC provides an EORI record-update route for address changes. Use that route for the existing business rather than assuming a move requires a new application; check separately if the legal entity changes.

Does Companies House update all my import details?

The VAT guidance says Companies House tells HMRC about a company name change. Still check your VAT and EORI records, and separately update the broker, supplier paperwork and factory artwork.

Can I sell stock with my old address on the label?

Have the product category, market, stock history and ability to contact your business assessed. Do not assume a universal sell-through allowance or a blanket requirement to relabel everything.

What if my China shipment has already left?

Send the change notice to your forwarder and customs agent. Ask which documents have been issued and whether a declaration needs correction. Keep the originals alongside any corrected versions.
