Check importer registration before ordering

The customs regulation published by Guatemala’s Ministry of Economy says registered parties must update their registration information annually. Before committing to a Chinese factory, ask your own Guatemalan customs broker to check your importer registration and identify anything outstanding.

Send the broker your product description, intended use, materials and model details. Request a written checklist covering any applicable permits, product registration, certification and labelling. Ask which tasks need completing before production or shipment.

Agree a price to your own port

Tell us your product specification, quantity, packing requirements and Guatemalan destination port. We can quote to your own port. Agree the delivery term, freight and insurance arrangements, and identify destination handling, clearance and onward transport costs separately.

Use our overseas buying guide for the wider workflow and buying through a UK company to clarify the purchasing arrangement. Agree who sells and invoices the goods, who exports them from China and who will be named as importer in Guatemala.

Prepare the factory documents before dispatch

We coordinate the commercial invoice and packing list with the Chinese factory and the agreed seller. Send drafts to your broker for review. Match product descriptions, quantities, values, carton counts and weights to the actual shipment, and check the importer and consignee details before documents are finalised.

Where your broker requests a certificate of origin, we arrange it with the exporter. We obtain relevant factory test reports or coordinate agreed testing. Ask the broker to confirm acceptable issuers and document scope. Match reports to the actual model and materials, and approve label artwork before printing.

Check the supplier and inspect the finished goods

Our own staff in China check the supplier’s identity, production site and capability against your specification. Establish where production will happen, review relevant equipment and processes, and ask about subcontracting. Keep an approved sample and written acceptance criteria for the order.

Before shipment, we inspect finished goods against the agreed sample and specification. Checks can cover function, dimensions, finish, quantities, packaging and labels. Record defects and corrections, then obtain your release decision. Keep inspection findings and laboratory reports separate so you can see what each actually establishes.

Your own broker manages arrival and final entry

Guatemala’s official import-process guide says a customs agent completes and presents the customs declaration in most import cases. Agree with your own broker that they will confirm the final entry, classification and valuation, calculate duties and taxes, submit the declaration and coordinate clearance. Send the completed document pack before arrival, including the carrier’s transport document.

Have the broker identify missing documents before we book shipment, and agree who handles local port charges and collection. If your business also buys for neighbouring markets, use the Mexico guide and Colombia guide for those destinations, with a separate broker checklist for each.
