Start with the importing company's EORI
The European Commission lists economic operators established in the EU customs territory among those needing an EORI number. For your Belgian business purchase, ask your own customs broker to check the importing company's registration before shipment. Ask your adviser to confirm the wording and languages for labels, instructions and warranty documents in each Belgian sales region. Approve the artwork before printing. Check that factory test reports match the ordered configuration and verify the report issuer.
Prepare the documents and arrival handover
Agree the document checklist with your broker before ordering. The Chinese factory supplies product details, packing data and available test reports. We coordinate the commercial invoice with the actual seller and the packing list with the factory. Where your broker requests a certificate of origin, we coordinate obtaining it and ask the broker to confirm the acceptable issuer and form.
Send drafts before dispatch and reconcile seller and buyer names, descriptions, quantities, weights and carton details against the order. EU guidance states that goods enter free circulation through a customs declaration. Appoint your own broker to handle the arrival declaration, check classification, origin and valuation, confirm duties and import VAT, and resolve clearance queries. Check the supplier and inspect before shipment
Our staff in China check the supplier's identity, production site, equipment and ability to make your specification. We compare the quoted company, business licence and payment account, and investigate unexplained differences. Keep an approved sample and written specification so that supplier promises become checks we can carry out.
Before shipment, we inspect the finished goods against the approved sample and agreed acceptance criteria, including packaging and approved labels. We record defects and corrective work for your release decision. Inspection findings and laboratory test reports serve different purposes.
