Factory trial pallet approval for UK retailers

Obtain written approval of an identifiable factory trial pallet against the retailer's current receiving manual and controlled label template. Record measurements, scan results, photographs and exceptions, then confirm booking readiness separately before release. Ask Cambridge China Bridge to coordinate the factory evidence with its own staff in China.

Freeze the retailer brief before building the trial

Ask your retailer contact for the receiving manual applicable to the destination distribution centre, its revision and effective date, approved label template and booking instructions. Confirm which requirements apply to your order and delivery route. Put conflicting instructions back to the retailer for written clarification before the factory prints labels or builds pallets.

Create a trial approval sheet linking each receiving requirement to a check and its evidence. Include pallet type, loaded dimensions and weight, carton arrangement, permitted overhang, wrapping, label positions and unloading access. Take limits from the retailer's documents rather than a factory's usual export specification. Use the China warehouse guide for custody and stock reconciliation.

Build and record a representative factory pallet

Use the proposed production cartons, pallet, protection, wrapping and printed labels. Identify the products, batches and packing arrangement represented. For materially different pallet configurations, agree which need separate trials. A photograph of empty cartons or a loose label proof does not demonstrate the finished pallet.

Record actual loaded dimensions and weight, carton counts, pallet condition and any overhang. Photograph all faces, the top, fork access and label positions, with close-ups of print quality. Check label readability and scan the applied labels after wrapping; save decoded results against the expected shipment data. Record the agreed handling trial and any movement, crushing or label damage.

Approve the physical pallet and label version

Ask the buyer's named approver to sign a dated record identifying the trial pallet, receiving-manual revision, label-template version, evidence files and approved configuration. Obtain retailer confirmation where the receiving instructions call for it or an exception remains unresolved. State whether approval covers the layout for future shipments or only the identified trial.

Keep the template master separate from shipment data. Approve fixed artwork and field mapping, then verify order references, product identifiers, carton quantities and pallet identifiers for each dispatch. Withdraw superseded files and stop release after an unapproved change. The label-template control guide covers the continuing control process.

Confirm booking and load readiness separately

Before release, reconcile the final pallet list with the order, delivery address, booking confirmation and shipping notice where requested. Assign who submits each item, who checks acceptance and who handles changes. Pass the confirmed delivery brief to the haulier and receiving warehouse. Follow the booking and shipping-notice guide for that handover.

Keep pallet approval separate from vehicle load security. GOV.UK guidance says the load must be stable on the vehicle before it is secured for transport. Ask the haulier to confirm a suitable securing arrangement for the actual load and vehicle, and record loading condition and restraints. Recheck against the approved trial after repalletising, relabelling or replacing damaged packaging.

Keep an evidence chain for possible deductions

Link the approval record to the actual dispatch through pallet identifiers. Retain the applicable manual, controlled template, correspondence, final label data, inspection results, packing list, loading photographs, vehicle and seal details where applicable, booking acceptance and shipping-notice acknowledgement. Arrange evidence collection at each repacking or transport handover, including the final UK delivery.

Ask for arrival records, delivery acknowledgement, received quantities, condition photographs and the stated reason for any refusal or discrepancy. Preserve original files and portal messages, with dates and the people involved. Agree retention around the retailer's deduction and dispute process. Trial approval supports your account but cannot guarantee acceptance or defeat a chargeback; use the logistics-deduction guide if a deduction arrives.

Frequently asked questions

Who should approve the factory trial pallet?

Name the buyer's packing or logistics approver. Obtain retailer confirmation where its instructions call for it, and ask it to resolve exceptions in writing. Keep the factory's check record alongside the approval.

Does trial pallet approval mean I can ship?

Keep release separate. Confirm actual shipment labels, pallet counts, booking acceptance, requested shipping notices and the haulier's delivery brief before authorising dispatch.

Can the factory reuse an approved pallet label?

Reuse only the current approved template. Populate and check the actual shipment data, preserve identifier links and remove obsolete versions from use. Recheck labels after wrapping or repacking.

What evidence helps challenge a retailer chargeback?

Keep the applicable manual, trial approval, label and scan records, booking messages, loading and arrival photographs, delivery acknowledgement and discrepancy report linked to the affected pallets.
