Getting started

When to order back-to-school stock from China

Order by working backwards from your wholesale delivery or shop-floor launch date, using confirmed factory and freight schedules. Local pupil return dates anchor the season, but your selling deadline comes earlier. Agree summer receiving cover and a final useful replenishment arrival before committing. Cambridge China Bridge can coordinate these checks with its staff in China.

Start with the local pupil return calendar

School term and holiday dates vary across the UK. Use the official calendar for each area you sell into, then check the target schools’ own calendars for pupil return dates. Record the academic year and distinguish pupil attendance from staff training. For overseas sales, build a separate destination calendar.

Avoid treating September as a universal starting point: Edinburgh’s published autumn calendar starts in August. Group stores and wholesale customers by their local buying window. Use the earliest relevant selling window to plan shared stock, while keeping later destinations separate where practical.

Set wholesale and shop-floor deadlines first

Ask wholesale customers when stock must reach their distribution centre, when delivery bookings close and when their stores need allocations. Their buying approval and order deadlines may come earlier still. For your own shops, set the display launch date and allow time for stock checks, pricing, branch transfers and online listings.

Write these dates separately from school reopening. If you sell uniform or school-specific goods, ask when families receive buying information and when fitting or collection events happen. The seasonal buying guide covers the wider programme; use this calendar to define the back-to-school selling window.

Work backwards to the factory order date

From the required shop-floor availability date, work backwards through branch distribution, warehouse receiving, delivery booking, import clearance, freight, inspection, production and sample approval. Ask the factory and forwarder to confirm the schedule for the actual goods and route. Include room for a failed inspection, corrections and missed connections.

The result is your latest workable order date, rather than a universal ordering month. Use the shipping lead-time guide for transport planning. If the schedule misses your selling window, compare a smaller initial range, available stock or a split shipment before paying a deposit.

Confirm who will receive stock during summer

Before dispatch, confirm receiving opening hours, holiday cover, unloading equipment, booking arrangements and a named backup contact. Check that someone can count cartons, record damage, resolve discrepancies and release stock to shops. If delivering to a school or event venue, obtain explicit confirmation that it will accept goods during the holidays.

Agree what happens if arrival moves into a closure period: an alternative staffed warehouse, a revised delivery booking or controlled storage. Identify who approves and pays for the change. Use the warehouse preparation guide for the receiving checks, then add summer staffing and branch distribution to the plan.

Set the last commercially useful replenishment date

Set this as the latest date replenishment can become available for sale and still meet expected demand at an acceptable margin. It is a selling date, not a vessel arrival date. Work backwards through receiving and distribution to establish the latest acceptable warehouse delivery, then assess whether the proposed shipment can meet it.

Review actual sales by product, size and store before reordering. Compare expected remaining sales with stock already held or in transit, expedited freight, handling and likely markdowns. Stop seasonal replenishment when arrival would miss its useful window; consider later buying only where replacement demand or year-round sales justify it. Give the factory a clear decision deadline.

Frequently asked questions

What month should I order back-to-school stock from China?

There is no universal ordering month. Work backwards from your wholesale delivery or shop-floor launch date using confirmed production, inspection, freight and receiving schedules.

Should back-to-school stock arrive when schools reopen?

Plan for your selling launch before pupil return. Wholesale customers may need stock earlier for distribution, and shops need time to receive, check, price and display it.

How do I arrange summer delivery of school stock?

Confirm a staffed receiving address, opening hours, delivery booking, unloading arrangements and a backup contact. Agree an alternative if the delivery date moves into a closure.

When is it too late to replenish back-to-school stock?

When stock cannot become available for sale before your last useful selling date at an acceptable margin. Check remaining demand, existing stock, freight and markdown risk before reordering.
