UK depot refused my empty container: what now?
Ask the haulier to record the refusal and contact whoever issued the return instruction. Request written authorisation for an accepting depot before redirecting the container. Check your shipment's detention terms and keep the eventual acceptance receipt. Cambridge China Bridge can help organise the shipment records.

Check the return authorisation
Retrieve the latest empty-return instruction, release note and any amendments. Match the container number, nominated depot, booking reference and return authorisation. Ask the haulier whether the depot rejected the container itself or could not find a valid booking or release. Check the handoff responsibilities against your container delivery arrangements.
Contact the forwarder or shipping line that issued the instruction. Ask it to confirm that the authorisation is active and that the nominated depot can accept this container. Share the refusal details through its current support channel and request a case reference.
Capture evidence at the rejected depot
Ask the driver to obtain a rejection slip or written reason. Record the container number, depot, arrival and departure times, booking reference and the name or role of the person giving the refusal. Preserve the booking confirmation, return instruction, driver messages and relevant photographs where permitted.
If the depot will not provide a written refusal, ask the haulier to send a contemporaneous account. Distinguish what the driver saw from what depot staff said. Send the evidence promptly to the instruction issuer and ask it to acknowledge the failed return attempt.
Get an authorised alternative before moving
Request written instructions naming the alternative depot, the container covered, the return reference and any booking arrangements. Ask the issuer to confirm acceptance with the receiving depot, then have the haulier check the slot and opening arrangements before travelling. A nearby depot's willingness to take the box is not a substitute for the issuer's authorisation.
Ask who will approve and pay for extra haulage, waiting, storage or depot charges. Keep cost approval alongside the amended instruction. If no depot can accept the container, request an interim holding instruction and a named contact responsible for resolving the return.
Check detention against this shipment's terms
Treat the free-time allowance, counting method, deadline and charge calculation as shipment-specific contractual questions. Ask for the applicable booking terms, tariff and any agreed extension. Request the actual last free return date and the event used to stop charging. Use the demurrage, detention and storage guide for the wider cost distinctions.
Do not assume that a rejected attempt pauses charging. Ask the shipping line or your contracting forwarder to confirm its treatment of the refusal in writing, including any extension or waiver. Keep pursuing an authorised return while preserving the evidence for a charge review.

Prove acceptance and reconcile the charges
Obtain the receiving depot's acceptance receipt or equipment interchange record showing the container number, depot and acceptance date and time. A driver's arrival message alone does not establish acceptance. Ask the instruction issuer to confirm that its equipment record shows the empty return and explain any mismatch.
Compare the acceptance record with the eventual invoice using the freight invoice checking guide. Submit any disputed charge with the original instruction, rejection evidence, amended authorisation, acceptance receipt and agreed extension or waiver. Request a written outcome or credit note before closing the file.
Frequently asked questions
Can I return the empty container to another depot?
Request written authorisation from the return-instruction issuer first. Confirm the alternative depot's booking and acceptance arrangements before the haulier travels.
Does detention stop if the depot refuses my container?
Do not assume it stops. Check the shipment's terms and ask for written confirmation of any extension, waiver or adjustment following the rejected attempt.
What if the depot will not give me a rejection slip?
Ask the driver for a contemporaneous written account with the container, depot, times and stated reason. Preserve booking records and messages, then request acknowledgement from the instruction issuer.
What proves my empty container was returned?
Obtain a depot acceptance receipt or equipment interchange record identifying the container and acceptance time. Ask the shipping line or forwarder to confirm the matching empty-return entry.
