Trader Goods Profile: reduce repeat GB-to-NI paperwork

A Trader Goods Profile can reuse product details in the simplified information for eligible Great Britain-to-Northern Ireland movements. Keep product references consistent, verify origin and codes, and review changes before reusing a record. Most carriers cannot use the profile. Factory details can be gathered by Cambridge China Bridge.

Check whether your movement can use it

HMRC requires UK Internal Market Scheme authorisation and a Customs Declaration Service subscription to use the profile. The profile can populate Internal Market Movement Information, a reduced dataset for eligible ‘not at risk’ goods moving from Great Britain to Northern Ireland. You must also check the goods category to establish eligibility.

Start by asking your intermediary whether it can use your profile for the planned movement. Treat the profile as reusable product data within that process. Agree who checks eligibility and who supplies the commercial information for each shipment.

Make product references match the actual goods

Use a stable product reference across your factory specification, stock system, invoice and instructions to the intermediary. Keep a mapping if the factory uses a different reference. Avoid grouping variants under a shared reference when their materials, function or origin differ.

HMRC says a product reference or simple goods description, alongside standard commercial information, can often enable an intermediary to complete the movement information. Write a description that identifies the actual article. Use our product specification guide to organise the factory details behind it.

Keep Chinese origin separate from dispatch location

Origin concerns where goods were grown, produced or manufactured, which may differ from where they were shipped or bought. Do not replace a supported Chinese origin with UK origin merely because the goods are dispatched from your British warehouse.

Ask the factory for manufacturing locations and information about materials and processing. Compare that information with your import records, and query discrepancies before reusing it. For products involving several countries, use our customs origin guide rather than guessing from the supplier’s address.

Check commodity codes and review record changes

HMRC’s profile guidance allows you to check codes in the Northern Ireland Online Tariff and request a goods-description review from its Classification Team. Assemble the product’s material, use, manufacturing and packaging details before asking for help. Our commodity code guide explains the classification work behind the stored code.

Before a repeat dispatch, compare the current goods with the stored record. A material substitution, changed function, different manufacturing location or revised classification should trigger a review. Agree who updates the record and tells the intermediary. Keep the previous specification and a dated explanation of what changed so an old reference does not silently describe a new product.

Confirm the courier’s process before preparing data

HMRC says the Trader Goods Profile cannot be used for goods moved by most carriers. A courier or express operator may instead complete the movement information through its service, using a plain English goods description and relevant commercial information. For business-to-business parcels, ask the operator about its arrangements.

Send the courier a sample description and ask which commercial details it needs, how it handles repeat products and how to report changes. Cambridge China Bridge’s staff in China can help gather factory specifications and manufacturing information for your review. Agree the final data handover with the intermediary or courier before dispatch.

Frequently asked questions

Does a Trader Goods Profile remove all GB-to-NI paperwork?

It can reuse product details in the simplified movement information for eligible goods. You still provide commercial information and check eligibility for the movement.

Can I use my factory’s product reference?

Use it if it reliably identifies the actual goods and your intermediary can match it to the stored record. Keep a mapping where your own stock reference differs.

Do Chinese goods become UK origin in a British warehouse?

Dispatching goods from a British warehouse does not itself establish UK origin. Check the manufacturing and processing evidence before changing the recorded origin.

Can my courier use a Trader Goods Profile?

Most carriers cannot use it. Ask your courier about its business parcel process and provide the plain English goods description and commercial information it needs.
