UK duty and the collator's commodity code

Heading 8472 covers other office machines. For standalone office document collators, the residual line 8472 90 80 00 is the line to check. The table shows collator configurations against that same line, rather than separate tariff subdivisions. Confirm classification from the machine's function and any integrated finishing equipment.

Read from the UK Trade Tariff on 30 September 2026, all supplied lines carried 0% duty for goods from China. The supplied facts list no anti-dumping or countervailing duty, tariff suspensions or attached import controls. This tariff position does not establish product safety compliance.

Give your customs broker the operating description, specification and details of any folding, stitching or binding functions to confirm the commodity code. For the wider office-machine heading, see office paper folding machines.

Specify the paper and the finished document set

Specify the paper dimensions, weight range, coated or uncoated stock, feed method, usable trays and tray capacity. State the sheet sequence, output stacking or offsetting, missing-sheet and double-feed detection, and whether downstream finishing is included. Agree acceptance using your printed stock, including curled sheets and mixed paper weights.

For Great Britain, machinery must be safe before being placed on the market or put into service. Request the exact model's declaration of conformity, technical-file arrangements, conformity marking and English operating manual. For apparatus covered by electromagnetic compatibility rules, the manufacturer must supply relevant instructions in English. Arrange testing and certification checks against the delivered configuration.

Under RoHS rules, individual products must show the importer's name or trademark and a contactable address on the product or packaging. Electrical equipment producers must register annually under the producer-responsibility scheme. Check your producer status and registration route before selling imported powered collators.

Worked duty example

Illustrative example, not a quote: Illustrative order: one vacuum-feed document collating machine under 8472 90 80 00, invoiced at £8,000 free on board, with £1,200 of freight and insurance to the UK. The customs value is £9,200. Duty at 0% is £0. Import VAT at 20% is charged on the customs value plus duty, £9,200, so it is £1,840. With no duty, the only import tax is the VAT, which a VAT-registered importer can usually reclaim. The import duty and VAT guide explains each step.

Inspection checklist

Sheet sequence: run your printed stock through every tray, then check complete sets for missing, repeated, reversed or out-of-order sheets.

Detection and recovery: introduce a missing sheet, a double feed and a jam; check the warning, stopping behaviour and whether restarting preserves the set sequence.

Paper handling: test the agreed stock range and tray loading; inspect for skew, roller marks, scuffed print and uneven output stacks.

Arrival and safety: inspect trays, guides and frame alignment after transport; check guards, fitted interlocks, labels, accessories and documents against the approved machine. Repeat the paper trial after installation; agree the checks through quality inspection.

What goes wrong

A demonstration on clean, flat paper can hide feeding problems with the buyer's printed stock. Worn rollers, unsuitable separation settings or unstable suction can cause double feeds and missed sheets. A counter can record output without proving that every document set is complete.

Transport damage can bend tray guides and upset alignment. A collator and its downstream finisher can also disagree on transfer timing. Agree the complete configuration, spare feed components and a repeatable paper trial before ordering, then repeat that trial on arrival.

Frequently asked questions

What is the UK import duty on document collating machines from China?

The supplied heading 8472 lines carry 0% duty from China, with no listed anti-dumping or countervailing duty. Check 8472 90 80 00 for a standalone office collator and confirm the exact classification.

Should I choose friction feed or vacuum feed?

Choose after trials with your printed stock. Compare separation, marking, double feeds, tray loading and adjustment when changing between coated, uncoated and mixed-weight sheets.

Is a CE mark enough when buying a document collator?

Check the exact model's declaration of conformity, supporting safety evidence and English manual alongside the marking. Run a paper-handling and safety inspection on the machine that will ship.

What should I test when the collator arrives?

Check transport damage and tray alignment, then run your paper through every tray. Verify sheet order, complete sets, missing-sheet and double-feed warnings, jam recovery and output stacking.
