Can I request sourcing company call recordings?
Yes. A focused subject access request can seek personal information held about you, including relevant information in recordings and complaint notes. It does not automatically give you complete commercial documents. Use the response alongside your order complaint. This guide explains how to make that distinction when dealing with Cambridge China Bridge.

Identify the personal information you need
Personal information means information about an individual from which they can be identified. For a personal-order complaint, consider requesting information about you in recorded calls, emails, messages, account records and internal complaint notes. These are practical examples: whether particular content qualifies depends on what it contains.
Identify the UK company you dealt with from the quote, payment record and correspondence. Our guide to checking a sourcing agent covers the wider company checks. Keep your request focused on your information rather than every record concerning the product.
Send a focused written request
Send the company a message headed ‘Subject access request’. Include your name, contact details used for the order, order reference and relevant date range. For recordings, give the approximate call date, time, telephone number and staff contact. Keep the sent message and any acknowledgement.
Adapt this wording: ‘Please provide a copy of the personal information you hold about me concerning this order and complaint, including information in call recordings, messages and internal complaint notes during the stated period. I would prefer recordings in audio form where available. Please explain any missing material or withheld content and arrange a secure way to deliver the response.’
Separate personal data from commercial documents
Subject access entitles you to your own personal information, rather than automatically to full documents. Requesting a recording is therefore different from having an unconditional entitlement to the entire original audio file. Likewise, a factory invoice, inspection report or supplier negotiation may contain relevant personal information without the whole document falling within your request.
Ask separately for the commercial evidence needed to resolve the order complaint, naming each document and its purpose. For example, request the inspection report to compare the findings with the agreed specification. See agreeing access to original sourcing records for that separate discussion.
Check the response and query gaps
Requests for personal data are usually free. The normal response period is 1 month. Ask the company to confirm the response date and explain any change to it. Deal promptly with requests for clarification, and ask what information is needed to identify you before sending sensitive documents.
Compare the response with your call history and saved correspondence. Identify specific gaps rather than simply saying the disclosure is incomplete. Ask whether a missing recording was never made, is no longer held, was overlooked or has been withheld. If content is blanked out, ask for the reason and enough context to understand the remaining information.

Escalate the data concern while pursuing the order complaint
If the response is missing or unsatisfactory, send the company a written follow-up identifying the problem and the remedy you want. You can contact the Information Commissioner’s Office, ICO, for advice or to make a data protection complaint. Prepare your original request, evidence of delivery, correspondence, response and a clear explanation of the outstanding issue.
The ICO’s role is that of a regulator, rather than an ombudsman. Keep the data complaint focused on access to your personal information. Continue discussing the faulty goods, disputed promise or requested refund separately, using the UK seller complaint guide for the order dispute.
Frequently asked questions
Can I ask for a recording of my call?
Yes. Identify the call and request the personal information about you in it, preferably as audio. Subject access does not automatically entitle you to the complete original recording.
Can a subject access request get factory invoices?
It can seek your personal information within an invoice, but does not automatically give access to the whole commercial document. Request the invoice separately as evidence for your order complaint.
How long does a sourcing company have to reply?
The normal response period is 1 month. Ask the company to confirm its response date, clarify what it needs from you and explain any change to that date.
What if the company ignores my request?
Keep evidence of delivery and send a written follow-up. You can contact the ICO for advice or a data protection complaint. Keep pursuing the order complaint separately.
