Send a present from China without a UK customs bill

Ask the seller and courier to confirm who pays freight, import taxes and handling fees before dispatch. Obtain an accepted billing instruction covering those charges, check the customs paperwork and agree what happens if delivery is declined. Ask Cambridge China Bridge to review the arrangements.

Separate the present from its customs treatment

Ask HMRC or your customs broker whether a present you purchase for direct delivery from China qualifies as a gift for customs purposes. Use our gift qualification guide to check that distinction; do not assume gift wrapping changes the customs treatment.

Tell the seller that the recipient should receive the parcel without paying anything. Request a written total covering the goods, freight, applicable import charges and delivery, with exclusions identified. Our personal order quote guide covers the wider quotation checklist.

Get the courier to accept the payer instructions

For deliveries to Great Britain, HMRC warns that express operators often expect the recipient to pay charges and fees. Ask the actual carrier whether its service supports sender-paid import charges for the destination postcode, including whether the address is in Northern Ireland.

Suggested booking instruction: ‘Bill freight, applicable import taxes, clearance and handling fees to the agreed payer account. Do not request payment from the recipient. Contact the purchaser if billing fails.’ Ask the carrier to confirm acceptance, the authorised account and separate payer settings for transport and import charges. Ask separately who will be named as importer.

Check what prepaid charges actually cover

Ask whether the arrangement collects charges before dispatch or bills an approved account later. Obtain confirmation covering applicable duty, VAT, clearance, handling and any fee for advancing tax. Ask who will fund any shortfall and how later adjustments will be handled. Keep the carrier confirmation with the shipment reference.

If the seller says VAT was collected at checkout, ask how that payment will be reflected in the shipment paperwork. Do not treat a tax receipt as confirmation that every courier fee is covered. If the carrier cannot confirm the arrangement, consider delivery to you first so you can resolve charges before forwarding the present.

Keep the surprise out of the customs paperwork

Check the draft invoice and declaration against the order and payment record. Review the actual contents, descriptions, quantities, values, currency, sender and delivery address. Ask the carrier to resolve discrepancies before collection. Incorrect declarations can lead to seizure.

Ask about gift wrapping and omitting a retail receipt from the gift packaging while keeping accurate customs documents available. Do not ask for an invented lower value or a false gift description. Send the proposed invoice, packing list and carrier booking to Cambridge China Bridge; our staff in China can help compare the documents with the goods.

Agree a bill and refused-delivery plan

Give the recipient a tracking reference and a purchaser contact for unexpected payment requests. Ask them to forward any bill to you promptly. Verify it through the carrier’s own contact channel, request a hold while the payer instruction is checked and arrange payment through the agreed route. HMRC says an unpaid bill can lead to return to sender.

Before dispatch, agree whom the carrier contacts if delivery is declined, whether to hold or return the parcel, the return address and who pays storage, redelivery or return costs. Ask the seller to state any refund deductions separately. Do not assume refusal cancels the purchase or produces a refund. See our unpaid parcel bill guide.

Frequently asked questions

Does paying postage cover UK customs charges?

Ask for separate confirmation of freight, import taxes and carrier fees. Obtain the carrier’s acceptance of the payer instructions before dispatch.

Can I mark a China-bought present as a gift?

Confirm with HMRC or your customs broker whether a purchase sent directly from China as a present qualifies as a gift for customs purposes. Use accurate purchase documents.

What if the recipient gets a customs bill?

Ask them to send it to you promptly. Verify it with the carrier, request a hold and have the agreed payer resolve the charge against the booking instructions.

What if the recipient refuses the parcel?

Use the agreed hold or return instructions. Confirm the parcel’s location, return costs and seller’s refund position; do not assume refusal automatically generates a refund.
