Getting started

What happens to a China order when the buyer dies?

The personal representative should gather the order records, establish their authority and contact the seller and bank. Ask what can still be stopped, then request delivery, cancellation or repayment with written confirmation. Do not treat notice of death as a cancellation notice. For supplier coordination, contact Cambridge China Bridge.

Establish who can deal with the order

Start with the will and identify the person handling the estate. In England and Wales, an executor named in the will or an update can apply for probate. Without a will, the most entitled person can apply to become the administrator. You may need probate before dealing with some assets. Scotland and Northern Ireland have different probate rules; check the relevant process before presenting documents.

Prepare the death certificate, your identification, evidence of your role and any issued grant of probate or letters of administration. Once you have the grant or letters, you can start dealing with the estate. Ask the seller which copies, certification or translations it needs rather than sending originals unsolicited. Do not use the deceased buyer's lasting power of attorney as continuing authority: it ends when the donor dies.

Notify the seller and establish the order status

Find the accepted quote, invoice, specification, payment receipts and correspondence. Identify the contracting seller, any separate sourcing agent and the platform that took payment. Our seller or agent guide helps identify those roles. Explain that this was a personal purchase; do not use business settlement terms to decide personal cancellation rights.

Write: “The buyer named on this order has died. I am contacting you about the estate. Please confirm your authority-document requirements, payments received, outstanding balance, production stage and dispatch status. Please tell me whether you can pause work or dispatch while we establish instructions, and identify any proposed charges.” Ask for written acknowledgement. A requested pause needs confirmation.

Choose delivery or request cancellation

If delivery is wanted, ask the seller to confirm the authorised recipient, address, outstanding payment, shipping arrangements and any remaining approval. For goods already dispatched, contact the carrier through its verified channel and ask what changes remain possible and what evidence it needs. Keep the seller's confirmation with the estate's order records.

If cancellation is wanted, send an explicit request and keep proof. Our personal cancellation guide explains applicable UK consumer cancellation rights, bespoke goods and separate services. If cancellation needs agreement, request an itemised proposal supported by production and material records. For a direct overseas purchase, check the contract and platform process. Seek legal advice if authority, applicable rights or a disputed balance remain unclear.

Contact the bank before changing the refund route

Contact the original bank or card issuer's bereavement team through a verified channel. Each financial organisation has its own rules for accessing deceased customers' assets. Ask what authority evidence it needs and whether probate is required. Provide the order receipt and original payment details securely; do not use the deceased person's login or card to make further payments.

Tell the bank whether a refund is promised, submitted or missing, and whether the original account is closed. Ask how it would receive or allocate repayment for the estate. Ask promptly about any dispute process and deadlines while tracing continues. Do not assume that a relative's account is an acceptable substitute; confirm any alternative route with the seller and bank in writing.

Confirm receipt and close the order record

For an agreed refund, obtain the amount, currency, payment route, submission date and processor's confirmation or trace reference. Our missing card refund guide explains how to coordinate tracing with the supplier and issuer. Establish what happened to an existing refund before requesting another payment, and record how duplicate repayment will be avoided.

Keep authority documents, correspondence, settlement calculations, delivery evidence and actual credits together. For delivery, record who received the goods and any shortages or damage. For cancellation, obtain confirmation of what was stopped and what remains payable or refundable. Cambridge China Bridge's staff in China can help gather factory status and supplier records; ask the bank to confirm receipt of funds.

Frequently asked questions

Does a China order cancel automatically when the buyer dies?

Do not treat notice of death as a cancellation notice. Ask the seller for the order status, establish the representative's authority and send a clear delivery or cancellation instruction.

What documents does an executor need for an unfinished order?

Prepare the death certificate, identification, evidence of your role and any issued probate document. Ask the seller and bank which copies they accept and whether further evidence is needed.

Can I use the buyer's lasting power of attorney after death?

No. It ends when the donor dies. Establish your authority to deal with the estate separately and ask the seller and bank what evidence they require.

Where should a refund go if the buyer's bank account is closed?

Contact the original bank or issuer's bereavement team. Ask how repayment can reach the estate, trace any existing refund and agree an alternative route in writing before another payment is made.
