Can personal purchases and stock share a parcel?

Combine personal purchases and resale stock only after the courier confirms how it will clear the mixed parcel. Identify each item's purpose, agree the importer and VAT arrangements, and separate private spending from business costs. Ask Cambridge China Bridge to coordinate the contents paperwork with its staff in China.

Agree the clearance route before packing

Treat sharing a parcel as a proposal to confirm with the courier before dispatch. GOV.UK says the parcel or courier company is responsible for taking goods through UK customs. Send its clearance team the proposed contents and explain that some items are personal purchases and others are resale stock. Ask separately about a Northern Ireland destination.

Ask whether its service can handle these purposes together, how it will identify the importer for each part, and whether it needs separate declarations or parcels. Request written confirmation of the documents, charges and contact for queries. Do not assume that delivery to your home makes the whole parcel a personal import. Use our customs document checklist for the underlying shipment file.

Identify the purpose of each item

Prepare an itemised contents sheet showing the product description, quantity, value, buyer or owner, intended purpose and packing location. Mark household purchases as personal use and goods bought to sell as resale stock. If identical products have different purposes, show their quantities separately and label the inner packs so the distinction can be checked.

Ask the supplier to match the invoice and packing list to that sheet. Keep the actual purchase values; do not replace them with guessed personal-use values or describe purchased stock as gifts. Explain whether a sample is for business evaluation or private use. If you choose the postal network, follow our postal paperwork guide for that route.

Confirm the importer and VAT instructions

Ask whose details will appear on the import declaration and how the courier will record the personal and business goods. Where the stock belongs to a company but the personal purchases belong to its director, flag that distinction explicitly. Ask which business identifiers the clearance team needs and check the draft instructions before the parcel leaves China.

If postponed VAT accounting is appropriate for the business goods, give the person importing on your behalf written instructions before the declaration is submitted. Ask how the separately identified personal goods will be handled; do not request postponed accounting for the whole parcel merely because it contains stock. Our import VAT guide explains the wider accounting arrangements.

Separate private spending and shared costs

Build a reconciliation with separate personal and business columns. Allocate each item's purchase cost directly, then identify its duty and other attributable charges from the clearance breakdown. For shared freight, insurance or handling, record a basis that reflects the charge, such as packed weight or space used. Keep the measurements and calculation. Our shared shipment cost guide explains allocation between products.

For a sole trader, HMRC says only the business costs of something used for business and personal reasons can be claimed as allowable expenses. For a company, ask your accountant how to record any private purchases paid from its account. Treat the reconciliation as supporting workings, and have the accountant check expense treatment and any VAT allocation separately.

Match VAT evidence to the business goods

HMRC says VAT on goods and services used for non-business purposes is not input tax and cannot be reclaimed. A combined courier bill therefore needs checking against the purpose of the goods and services it covers. Ask for duty, import VAT and courier fees to be shown separately, rather than treating the total bill as recoverable VAT.

Keep the supplier invoice, purpose sheet, packing list, declaration reference, charge breakdown and payment evidence together. Obtain the applicable import VAT certificate or postponed import VAT statement and link it to the invoice. Check the importer details and reconcile the business portion with your accountant. If the evidence is missing or inconsistent, investigate before using the bill to support a VAT claim.

Frequently asked questions

Can personal items and resale stock share a China parcel?

Ask the courier's clearance team before packing. Explain each item's purpose and ownership, and obtain written confirmation of how the mixed parcel will be declared. Use separate parcels if its service cannot handle the arrangement.

Does delivery to my home make the parcel a personal import?

Do not use the delivery address as the deciding factor. Tell the clearance team which items you bought for private use and which you bought to sell, then agree the declaration arrangements.

Can I reclaim VAT on the whole mixed parcel?

VAT on wholly private purchases is not recoverable as business input tax. Separate those items and ask your accountant to check shared charges, eligible business VAT and the supporting import evidence.

How do I split courier costs between personal items and stock?

Allocate identifiable charges directly. For shared charges, document a basis reflecting how they arose, such as packed weight or space used. Keep the workings and ask your accountant to check expense and VAT treatment separately.
