Can I deduct from an online cancellation refund?
Opened packaging alone does not justify a deduction from a consumer cancellation refund. You may deduct the loss in value caused by handling beyond necessary inspection, subject to having provided cancellation information. Blanket restocking fees are not allowed. Separate cancellation from a product complaint
Use this guide when handling a consumer's online change-of-mind cancellation. First ask whether the customer is cancelling or reporting a fault, damage on arrival or goods that differ from the description. Faulty or misdescribed goods involve different rights; do not automatically apply your cancellation deduction procedure.
Record the customer's explanation before assessing condition. For a suspected product problem, use investigating customer returns to organise the investigation.
Opening packaging can be necessary inspection
The practical benchmark is handling reasonably allowed in a shop. Taking an item out of its box to look at it, or trying clothing on, can be necessary inspection. Do not deduct merely because packaging was opened to make that inspection possible.
Distinguish transport protection from packaging that shows the product and its contents. Government guidance gives a toy example where removing the shipping wrap and outer box is reasonable, but opening internal sealed packets goes further. Assess what this customer needed to open rather than treating every broken seal alike.
Used goods need a loss-in-value assessment
A deduction depends on excessive handling causing reduced value. Government guidance distinguishes inspecting a toaster from using it to make toast: actual use can justify a deduction reflecting diminished value. A label such as 'used' or 'cannot sell as new' is not a calculation.
Photograph the item, packaging and signs of use. Compare its condition with dispatch records, explain which handling exceeded inspection and record how that handling reduced its value. Keep resale evidence or a written valuation rationale. If a returned product needs technical assessment, consult no fault found returns.
Check information before deducting
You cannot make a diminished-value deduction if you failed to provide the required information about the consumer's right to cancel. Before approving a deduction, retrieve the cancellation information supplied for that order and check it alongside the condition evidence.
Keep the order confirmation, applicable terms, return photographs and deduction explanation together. Give the customer a clear account of the condition found, the loss attributed to excessive handling and the resulting refund.

Replace blanket fees with a case assessment
Trading Standards guidance says no other deductions, such as cancellation or restocking fees, can be made when a consumer exercises their legal right to cancel. An automatic charge for every opened return bypasses the necessary-inspection and diminished-value assessment. Calling the charge an administration fee does not resolve that problem.
For China-sourced stock, ask the factory for packaging that permits straightforward inspection and request clear dispatch photographs. Cambridge China Bridge can discuss these checks with its staff in China. Keep consumer refund decisions separate from any request for factory credit or replacement.
Frequently asked questions
Can I deduct money because the box was opened?
Not merely because it was opened. Reasonable unpacking to inspect the item is allowed. Assess whether handling went beyond necessary inspection and caused a loss in value.
Can I reduce a refund for a used item?
Yes, where handling beyond necessary inspection reduced its value and you provided the required cancellation information. Base the deduction on that loss and explain your evidence.
Can I charge a restocking fee for online returns?
Not when a consumer exercises their legal cancellation right. A blanket restocking fee is separate from a permitted deduction for diminished value caused by excessive handling.
What evidence should I keep for a refund deduction?
Keep dispatch and return photographs, condition notes, the cancellation information supplied and evidence supporting the loss in value. Explain the connection between excessive handling and the amount deducted.
