Say what you want the search to find
Send the original photo and explain where you found it. Include the original listing if available, but treat its description as unconfirmed. Say whether you want that exact item or something that performs the same job. Keep the search to genuine goods, the supplier’s own products or unbranded items; do not ask for imitation branding or a branded copy with its logo removed.
Explain that this is a personal purchase, how many items you need and where they will be delivered. Ask whether an existing item is available in that quantity before considering custom manufacture. Turn the photograph into a home-use brief
Describe the job the item must do and the space it must fit. For a storage basket, include the shelf opening, what you will store and whether handles must remain accessible. Record measured dimensions separately from your required dimensions, with units. If you cannot measure the photographed item, say so rather than guessing from its surroundings.
Name materials only when you know them. Otherwise describe what matters, such as a washable surface or a soft lining, and ask the supplier to confirm the material. Compare actual items, not matching listing photos
Ask for fresh photographs of the offered model, its underside, fittings and packaging, alongside confirmed dimensions and materials. Have each candidate labelled as an exact model match, a similar existing item or a proposed custom item, with reasons for that description. A repeated catalogue photograph does not establish that sellers hold the same product or that the original factory has been found.
Supplier checks should establish who is selling, who makes the item and whether the offered version is available in your quantity. Use a sample to choose the version you will buy
Request a sample of the exact offered model and record its material, finish, fittings and included accessories. Compare it with your brief, then check fit, handling and ordinary use at home. Write down accepted differences and anything that needs correcting. Ask whether the item supplied later will use the same materials and construction; a sample cannot guarantee every delivered item. If an existing model needs changes, use the reference-product sample brief rather than asking the factory to work from appearance alone. Approve the changed sample before ordering that version.
Agree the purchase and check the delivery
Before paying, get a written description naming the selected model, accepted differences, quantity, accessories and packaging. Ask for the total delivered cost, what is included, who is selling to you and how damage, an incorrect item or a return would be handled. Compare that total with buying a suitable item locally before committing.

Photograph discrepancies and keep the packaging while raising them with the seller.
