China refund to an expired card or closed account

Contact the original UK card issuer or bank to establish where the refund went. If it cannot be received through that route, confirm the outcome before agreeing repayment to a verified account in your business’s name. Document the amount, currency and duplicate-refund handling. Ask Cambridge China Bridge to coordinate with the supplier.

Establish what changed

Tell the original issuer whether your card expired, was replaced or belonged to an account that has now closed. Do not assume that expiry prevents a refund or that a closed account automatically sends it back. For the evidence to collect and the reference to request, use our missing card refund guide.

For a refund sent by bank transfer, give the original receiving bank the supplier’s transfer confirmation and the closed account details through its secure channel. Ask it to investigate the incoming payment and explain whether it holds the funds, forwarded them, rejected them or returned them.

Ask the bank for an actionable finding

Ask: ‘Please trace this refund against my original payment and confirm where the money is now. If you hold it, what verification and instructions do you need to release it? If it was returned, please provide the return date and reference.’ Request a case reference and written findings that you can share with the supplier.

If the bank cannot locate the refund, ask which details it searched and what evidence is missing. Send that question to the supplier’s payment processor. If handling remains unresolved, follow the bank’s complaints procedure. GOV.UK says you can usually then approach the Financial Ombudsman Service if unhappy with the response. Ask whether your business and complaint are eligible.

Confirm who should make the alternative repayment

If the bank holds the refund, ask it to explain its process for paying you through another route. If the supplier’s processor confirms the refund failed or was returned, ask the supplier to agree a replacement repayment. Keep the bank’s finding and processor’s confirmation together before authorising another payment.

If the bank and processor give conflicting answers, request an investigation between them. Avoid treating ‘not visible in my account’ as proof that the supplier has recovered the money. For an existing card dispute, check with the issuer how the proposed repayment affects it and use our refund during a chargeback guide.

Verify the receiving account and written agreement

Choose an active account in the purchasing business’s name where possible. Ask your bank which details the sender needs for the proposed currency and payment route. Check the account name and details against your bank records. Send them through an agreed secure channel, then confirm them with the supplier using an established contact method. Investigate any request to repay an unrelated person.

Record the order, original payment, refund outcome, replacement amount, currency, receiving account and who bears transfer charges. Agree a payment date, remittance reference and what happens if the original refund later arrives. Have an authorised colleague approve the arrangement under your order and payment approval controls. Do not disclose card security codes or online banking credentials.

Confirm receipt before closing the refund

Check your bank’s transaction record and match the receipt to the agreed repayment. Investigate any shortfall or currency difference before confirming settlement. Link the alternative payment to the original refund case and use our credit-note reconciliation guide for the accounting record.

If the original refund also arrives, notify the bank and supplier, verify the duplicate and agree its handling in writing. Independently check any new destination before returning money. Cambridge China Bridge’s staff in China can obtain supplier confirmations and coordinate the repayment agreement; give them the bank’s findings and your approved instructions.

Frequently asked questions

Can I receive a China refund after my card expires?

Ask the original issuer to trace it against the original payment. Card expiry and account closure are different situations; obtain confirmation of where the refund went before requesting another repayment.

What if my refund went to a closed bank account?

Contact the original bank through a verified channel. Ask whether it holds, forwarded, rejected or returned the funds, and request written findings and any return reference.

Can my Chinese supplier refund a different account?

Ask it to confirm that its payment route permits this. Establish the original refund’s outcome, verify the receiving account and agree the amount, currency, charges and duplicate-refund handling in writing.

What if both the original and replacement refunds arrive?

Tell the bank and supplier, verify that the receipts cover the same refund and agree how to resolve the duplicate. Independently verify any account proposed for returning money.
