Can a seller deduct fees from my cancellation refund?
For a covered statutory cancellation, a UK seller cannot deduct blanket restocking or administration fees, or charge for making the refund. Voluntary returns need a separate policy and fairness check. Ask for each deduction’s basis and calculation. Discuss the order records with Cambridge China Bridge.

Establish which cancellation route applies
Start with your personal purchase from the UK seller. Collect the accepted quote, order confirmation, cancellation notice and terms supplied when ordering. Our personal cancellation guide covers eligibility, bespoke goods and separate sourcing services. Use it to establish the route before debating the deduction.
Ask the seller whether it is processing your statutory cancellation or accepting a return under its voluntary policy. If it says the statutory right does not apply, request its reason and the policy it offers instead. Describe faults or goods that differ from the agreed specification separately.
Challenge the fee behind the label
For a covered statutory cancellation, blanket restocking and administration deductions are not allowed. The seller must not charge a fee for making the refund. Calling that charge a payment-processing fee does not change the rule. Ask whether the deduction concerns processing your original payment, issuing the refund or something else.
The statutory starting point is reimbursement of payments received, subject to the permitted adjustments. A seller saying its payment provider keeps a charge does not itself establish a permitted deduction. Ask it to identify the legal basis for passing that cost to you. Refunds must use the original payment method unless you expressly agree otherwise.
Separate genuine adjustments from flat charges
For a covered statutory cancellation, standard outward delivery must be refunded; an upgrade above standard delivery need not be. Return postage is a separate question: check the return-cost information supplied before ordering and whether the seller agreed to pay. Ask for the carrier charge and return instructions if the seller proposes a prepaid label deduction.
Ask the seller to explain any proposed loss-in-value deduction for handling beyond necessary inspection, including how the cancellation information supplied affects its position. Ask why opening the box would justify the proposed deduction. Our opened and used goods guide explains that assessment. For a separate sourcing-service charge, request the contract, any early-start request and the work record, and confirm the applicable rules with the relevant consumer protection authority.
Check voluntary returns and agreed cancellations
Where you rely on a voluntary return policy, ask for its conditions and how the proposed fee fits them. Do not assume the statutory refund calculation automatically applies to that route. Equally, a cancellation charge is not fair simply because you signed the terms.
For cancellation outside the statutory right, official guidance says the business is generally limited to losses directly resulting from cancellation and must take reasonable steps to reduce them. Ask for evidence of committed costs, recoveries, avoided spending and resale possibilities. Query duplicated factory, administration and processing charges rather than accepting an unexplained total.

Request an itemised calculation in writing
Write: “Please confirm the cancellation route and provide the amount paid, delivery refund, each deduction, its contractual or legal basis, supporting evidence and the resulting refund. Please explain any payment-processing charge and identify the cancellation information supplied with my order. I dispute the unexplained deductions and request a revised calculation.”
Attach the order, applicable terms, cancellation notice, return photographs and dispatch evidence. Ask for a written response and proposed refund date. For a separate timing dispute, use our refund after returning goods to China guide. If unresolved, take the document pack to a consumer adviser. Cambridge China Bridge can help organise factory progress and dispatch records through its staff in China.
Frequently asked questions
Can a UK seller charge a restocking fee?
Not for a covered statutory cancellation. A voluntary return needs a separate policy check. A permitted loss-in-value deduction is different from a blanket restocking fee.
Can the seller deduct its payment-processing costs?
For a covered statutory cancellation, provider costs do not themselves justify a deduction. The seller cannot charge for making the refund. Ask for the basis of any processing deduction.
Is an administration fee valid if I agreed to it?
Agreement does not permit a blanket administration deduction on statutory cancellation. Outside that right, a cancellation term still needs to be fair; ask how the amount relates to the seller’s direct loss.
How do I challenge an itemised refund deduction?
Dispute each unsupported line in writing. Request its basis, calculation and evidence, alongside the original cancellation information. Send your order and return records and request a revised refund calculation.
