How to appoint a UK machinery service partner
Appoint a UK service partner against a written scope for your exact machine. Check the named engineers’ experience, diagnostic access, tooling and factory training, then agree subcontracting and repair handover. Resolve capability gaps before ordering. Factory-side coordination can be handled by Cambridge China Bridge.

Define the machine and the work
Give candidates the factory name, model, configuration, controller details and intended use. Separate routine servicing, fault diagnosis, mechanical repairs, electrical work and safety-control work. Ask each candidate to mark what it can undertake, what needs factory support and what it excludes.
Use the machinery sourcing guide for purchase specifications and supply documentation, and the installation and commissioning guide for initial site acceptance. The service appointment should address ongoing support after that handover.
Assess the engineers who will attend
HSE describes competent maintenance personnel as having the necessary skills, knowledge and experience to carry out the work safely. Ask for the names of the attending engineers, examples involving the same model or control system, and service reports showing the faults they diagnosed and the checks they completed.
Ask the factory to confirm the content of any factory training: which machine configuration it covered, whether it included practical fault diagnosis and safety controls, and what the engineer demonstrated. Treat a training certificate as supporting evidence. Ask how a replacement engineer would be assessed before attending.
Demonstrate diagnostic access and tooling
Arrange a review with the candidate and the factory using an existing fault record or a safe demonstration. Ask the engineer to explain how they would distinguish a mechanical fault from a sensor, drive or controller fault. Check access to English manuals, electrical drawings, alarm histories, parameter backups and factory technical support.
Ask the partner to show which diagnostic software, licences, cables, test instruments and specialist tools it has available. Establish who supplies missing items and who controls passwords and backups. If diagnosis depends on factory remote access, agree customer authorisation, supervision, change records and how access ends.
Control subcontracting and safe working
Ask which tasks will be subcontracted and to whom. Request the same engineer-level evidence for subcontractors, and make approval of substitutions part of the appointment. Name the lead partner responsible for coordinating attendance, factory escalation and the completed service report.
HSE states that plant and equipment must be made safe before maintenance starts. Ask the candidate to explain its approach to isolation, stored energy, site access and coordination with production. Have it identify work needing a separate assessment before agreeing the service scope.

Make the appointment conditional on evidence
Record the agreed tasks, named engineers, capability gaps, tooling arrangements, subcontractors and factory escalation contact. Define acknowledgement, attendance and repair expectations separately, with exclusions and approval arrangements for extra work. If a critical task has no capable provider, resolve that gap before committing to the machine.
Agree a handover report covering the fault, diagnosis, parts fitted, software or parameter changes, checks performed and unresolved restrictions. Define who reviews the report before production resumes. Use the spares and after-sales guide for parts arrangements. Cambridge China Bridge’s staff in China can coordinate requests for factory documents and training evidence.
Frequently asked questions
How do I check a machinery service engineer’s competence?
Ask for experience with your model and control system, relevant service reports and a diagnostic walkthrough. Assess the engineer who will attend, including any substitute.
Is factory training enough to appoint a service partner?
Check what the training covered and what the engineer demonstrated. Also verify relevant repair experience, diagnostic access, tooling and the limits of the proposed service scope.
What if the engineer cannot access the machine controller?
Resolve access with the factory before appointment. Confirm software, licences, passwords, backups and remote support arrangements, then test the agreed diagnostic route safely.
Can the service partner subcontract machinery repairs?
Agree subcontracting in writing. Identify the tasks, firms and attending engineers, assess their capability, and require approval for substitutions with a named lead coordinating the work.
