Start with the laundry, not the catalogue

Hotels, guest houses and laundry suppliers need repeatable replacements. A towel that feels luxurious in a showroom can be the wrong choice if it takes too long to dry or no longer fits your shelves after washing. Send the laundry temperature, chemicals and drying process with the enquiry, and ask your laundry operator to participate in sample approval.

Separate guest towels, bath mats, bed sheets, pillowcases and bathrobes into order lines. A total order quantity hides the minimum run for each size, colour and embroidery design. Ask for stock fabric and custom fabric options separately; do not assume that combining different lines removes a factory minimum.

A specification a factory can price

Use finished measurements and state whether they apply before or after washing. The following are fields to agree with the factory, not universal acceptance limits. Keep the approved specification and physical reference together.

Approve a washed sample and a batch reference

Wash and dry samples through the process you will actually use, record the number of cycles, and agree the permitted dimensional change before ordering. Photograph measurements against the same ruler and retain an unwashed reference. A supplier's generic test report is useful only if you can connect it to the fabric and treatment being ordered.

For production inspection, agree which sizes and cartons will be sampled, which defects count as rejects, and what happens if the batch differs from the signed sample. Labels and freight belong in the comparison

GOV.UK's textile-labelling guidance for Great Britain requires fibre-content information and identifies manufacturers and retailers as responsible for compliance. Settle the correct composition wording before labels are printed; a care label and a fibre-content label do different jobs.

Request packed carton dimensions as well as gross weight. Towels and robes can consume more freight space than their invoice value suggests. Compare the complete delivered order with your current linen supplier, including samples, inspection, import charges, storage and the stock you must hold. When to keep buying locally

If you need a few replacement sheets next week, or continually change sizes and colours, a UK stockholder may be the better purchase. A lower factory unit price does not pay for excess stock that never reaches a guest room. Direct sourcing becomes a candidate when the specification is stable and you can plan repeat orders.
