Getting started

Agree compliance updates with a UK retail buyer

Agree a written communication plan before supply: name contacts and deputies, define change and complaint triggers, and require acknowledgement of updates and confirmation that obsolete documents have been replaced. Record who owns each corrective action. Factory follow-up can be coordinated by the China-based staff of Cambridge China Bridge.

Set the scope and name the contacts

Attach a communication plan to the supply agreement. Identify the products, intended sales territory and each party's actual supply-chain role. Check the applicable product rules separately for Great Britain and Northern Ireland. Use the electrical-equipment duties below only as a Great Britain example, rather than a checklist for every product.

Name contacts and deputies for compliance evidence, product changes, complaints and corrective actions on both sides. Include a monitored mailbox, an urgent telephone route and cover during absence. Record who can block dispatch or sales, approve revised documents and authorise restart. Test the contact route before supply.

Agree which changes trigger a notice

Ask for advance notice of changes to materials, components, factory location, design, intended use, labels, instructions or supporting reports. Require a notice stating what changed, why, the affected product and batch, proposed implementation point and evidence needing review. Agree who assesses the change and gives written approval before changed goods are supplied.

For electrical equipment in Great Britain, OPSS guidance says manufacturers must account for design, characteristic and relevant technical-reference changes when maintaining conformity in series production. Build that review into the notice process. Use our guide to certification and test documents for examining the supporting evidence.

Make acknowledgement an action record

Give each update an identifiable reference and revision date. Agree response deadlines by urgency and an escalation route for missed replies. Ask the recipient to confirm the affected products, documents received, action owner and any unresolved questions. An email delivery receipt does not demonstrate that the update has been reviewed or implemented.

Maintain a shared evidence index showing the current document, the version it replaces and the products or batches it covers. Ask the buyer to confirm replacement in its purchasing, warehouse and customer-support systems. Mark superseded copies as historical and remove them from active use; retain them to explain which evidence supported earlier supplies.

Route complaints to someone who can act

Agree a complaint form covering product identity, batch markings, purchase details, reported failure, photographs and any injury or damage. Have customer service pass possible safety concerns to the compliance contact promptly. Keep facts, assumptions and missing information separate, and preserve the sample where available.

For electrical equipment in Great Britain, OPSS guidance says distributors must withhold equipment they consider nonconforming with the safety objectives until corrected, ensure corrective action and inform the market surveillance authority where it presents a risk. Agree an urgent route that operates while factory investigation continues. Our product recall guide covers the incident response.

Confirm corrective action and keep the plan current

For each corrective action, record affected goods, containment, the action owner, target completion and evidence the buyer should receive. Ask for confirmation that sales or dispatch blocks reached the relevant teams. Agree who reviews the correction and authorises restart. Use our guide to closing supplier corrective actions for the closure evidence.

OPSS guidance also requires electrical-equipment distributors in Great Britain to cooperate with enforcing authorities and provide information following requests. Name the person who gathers records and coordinates replies. Review the contact plan when staff, products or sales territories change, and keep unresolved updates visible until the agreed actions are confirmed.

Frequently asked questions

Who should receive compliance updates at a retailer?

Name a compliance owner and deputy, with routes to purchasing, customer service and warehouse teams. Include someone authorised to block sales and an urgent contact during absence.

Does an email receipt count as acknowledgement?

Treat it as delivery evidence only. Ask for a reply confirming the update reference, affected products, action owner and whether document replacement or other actions are complete.

Should old test reports be deleted?

Remove superseded reports from active use and mark retained copies as historical. Keep their product and batch scope visible so earlier supplies can be understood.

What if the buyer does not acknowledge a safety update?

Use the agreed urgent telephone and deputy routes, record contact attempts and escalate to the person authorised to block sales. Keep protective action moving while seeking confirmation.
