How to qualify replacement cosmetic pumps

Qualify the replacement with your actual formula, bottle and filling process. Agree acceptance limits before testing dose, priming, leakage, compatibility and dispensing as the pack empties. Release only the documented assembly after production trials. Cambridge China Bridge can coordinate factory samples and checks through its staff in China.

Freeze the complete assembly and acceptance criteria

A matching neck thread does not establish interchangeability. Record the bottle neck drawing, sealing surface, pump model, actuator, dip tube length and cut, gasket, wetted materials, locking mechanism and assembly settings. Obtain incumbent and replacement samples with component identities and batch records. Use the product specification guide to turn these details into a controlled brief.

Agree limits for delivered dose and variation, priming strokes, leakage, operating force and unusable residue before testing. Define formula condition, fill level, storage orientation, actuation method and conditioning with your technical team. Compare against the incumbent, but investigate its existing faults rather than copying them into the acceptance criteria.

Measure dose, priming and restart separately

Fill representative bottles with the actual formula using the intended filling and closure process. Count complete strokes until usable product appears and until output becomes consistent. Then weigh individual doses in a tared vessel, recording the spread rather than only the average. If specifying volume, use measured formula density at the test condition to convert mass.

Keep actuator travel and the pause between strokes consistent. Check partial strokes and realistic user operation separately. Repeat after standing idle, after unlocking and after storage under agreed conditions. Record air spits, delayed refill, nozzle drips and loss of prime. Water tests can help diagnose a mechanism, but should not release a pump intended for a different formula.

Separate leakage from accidental dispensing

Test filled assemblies upright, on their side and inverted under agreed storage and transport conditions. Include the intended outer packaging and closure settings, then repeat functional checks after transport simulation. Examine the neck seal, pump body, vent and nozzle separately. A transport lock may stop the actuator while another leakage path remains open.

Record visible wetting, product loss and the location of each failure. Use suitable controls when weighing packs so evaporation is not mistaken for leakage. Check locking, unlocking and reclosing after use, including closure loosening and seal damage. Keep photographs, assembly settings and failed samples so the factory can reproduce the fault.

Test compatibility with the filled pack

Obtain the material identities of every formula-contact component, including seals, valves and any exposed spring. Condition filled incumbent and replacement packs alongside a suitable formula control. Check swelling, cracking, corrosion, discolouration, odour, separation and changes in viscosity, then repeat dose and leakage checks. Agree storage conditions and test duration with the formulation team; a short accelerated screen should not be treated as proof of shelf life.

For Great Britain cosmetics, the Product Information File must stay current and includes the cosmetic product safety report. Send the proposed packaging change and compatibility results to the Responsible Person and safety assessor for review before release. Ask whether chemical or microbiological testing is needed. The beauty sourcing guide covers the wider cosmetics obligations.

Run to exhaustion, then release production

Operate filled packs through normal use until dispensing fails. Track dose as the level falls, noting sputtering, air intake, missed strokes and recovery after standing. Weigh the remaining formula and distinguish unusable residue from product accessible through ordinary use. Check dip tube reach and, for airless packs, piston or pouch movement. Define permitted user actions so shaking or dismantling cannot conceal poor evacuation.

Repeat the agreed checks on assemblies from a production trial using intended tooling and filling settings. Retain approved samples, raw results, component revisions and written buyer sign-off. State which changes require renewed review, including resin, seal, spring, dip tube and tooling changes. Use the component substitution guide to control later replacements.

Frequently asked questions

Can I replace a cosmetic pump with the same neck size?

Neck size alone is insufficient. Check the sealing surface, gasket, dip tube, wetted materials and assembly settings, then test the complete filled pack.

How do I test cosmetic pump dose?

Prime with the actual formula, then weigh individual complete-stroke doses under controlled conditions. Record variation and repeat as the pack empties and after standing idle.

Is testing a cosmetic pump with water enough?

Water can help diagnose operation. Approval should use the actual formula because refill, sealing and material compatibility can behave differently.

How do I check product left in a pump bottle?

Run the pack until normal dispensing fails, weigh the residue and record any permitted recovery action. Compare dose consistency and unusable residue with the incumbent.
