Describe the hire cycle before choosing a product

Tell the factory who will hire the goods, where they will be used, who assembles them and how they travel between bookings. Describe loads, surfaces, weather, cleaning methods, storage and foreseeable mishandling. Ask for written operating limits and prohibited uses. Separate essential safety and durability criteria from cosmetic preferences.

Agree repeated-use trials and acceptance evidence

Write a trial sequence that follows actual hire operations: unpack, transport, assemble, use within agreed limits, dismantle, clean, dry, repack and repeat. Have someone competent in the product's safety define the trial scope, duration and acceptance limits. Record the sample identity, materials, accessories and conditions so the factory cannot substitute a different construction after approval.

Check wear at joints, locks, handles, wheels, cables and replaceable parts as relevant. Record loosening, distortion, cleaning damage and changes in function with photographs and observations. Agree which failures stop the trial and require redesign and retrial. Keep the approved sample and trial report alongside the production specification. Design dispatch, handover and return checks

Give each item a durable identifier linked to its model and history. Before dispatch, check condition, functions, accessories, instructions and unresolved defects against a product-specific checklist. At handover, demonstrate setup, safe use, limitations and fault reporting. Record the item supplied, its condition and the instructions given. Ask the customer to report damage or abnormal behaviour rather than attempt an improvised repair.

On return, reconcile accessories, record damage and reported faults, and separate unchecked goods from stock available for hire. Include cleaning and drying checks before release. Request service instructions, exploded drawings, part identifiers, replacement methods and information on wear limits. Confirm which tasks your team can perform and which need specialist support. As an operating practice, keep an item-level record of hire use, checks, reported faults, cleaning, repairs, parts fitted and release decisions. Name the person responsible for reviewing recurring faults and deciding whether the maintenance plan needs changing. HSE says the need for work-equipment inspection and its frequency should be determined through risk assessment; set your plan around the product and its actual use.

Set withdrawal and return-to-hire criteria

Write observable stop-hire triggers before purchase: cracks, deformation, failed locking or protective features, unstable operation, exposed wiring, missing critical parts or unreadable safety instructions, as relevant. Include manufacturer wear limits and unresolved customer fault reports. Mark affected items as unavailable, separate them physically and block their allocation to bookings while the fault is assessed.

Define the evidence needed for release after repair, who can authorise it and when an item should be retired. Record the fault, corrective work and verification outcome against its identifier. HSE says work equipment requiring inspection should not be used unless you know that inspection has taken place.
